Position Title:
Site Administrator, Document Control Coordinator

: 2 weeks on 2 weeks off
The Opportunity
We are seeking a highly organised and detail-focused Site Administrator, Document Control Coordinator to support the daily operations of our maintenance team. This role is responsible for managing trade documentation, processing work reports, maintaining accurate job records, and supporting scheduling and invoicing functions to ensure efficient project and maintenance delivery.
Key Responsibilities
Review and process daily trade work reports and maintenance documentation.
Update and manage job statuses within the maintenance operations system.
Ensure all records, trade notices, and supporting documents are accurately filed and maintained.
Liaise with trades and supervisors to resolve missing or incorrect information.
Support scheduling activities, including job reallocations and coordination updates.
Assist the invoicing team by verifying labour, materials, and supporting documentation.
Maintain compliance with internal procedures, reporting standards, and audit requirements.
About You
You are proactive, organised, and capable of managing multiple priorities in a fast-paced operational environment. You have strong attention to detail and enjoy working collaboratively across teams to ensure smooth workflow coordination.
Skills and Experience
Experience in site administration, document control, maintenance administration, or operations support.
Strong administrative and document management skills.
Ability to interpret trade or maintenance-related reports and documentation.
Excellent organisational, communication, and time management skills.
Proficiency in Microsoft Office and maintenance/job management systems.
Experience in construction, maintenance, housing, or trade environments highly regarded.
