The Finance & Payroll Officer is responsible for the accurate and timely administration of the Company's finance and payroll functions. This role plays a key part in supporting the day-to-day financial operations of the business by ensuring employees are paid correctly, financial records are maintained accurately, customer and supplier accounts are effectively managed, and statutory obligations are met.
Working within a fast-paced crane hire and construction environment, the Finance & Payroll Officer will liaise with management, employees, customers and suppliers while maintaining the highest level of confidentiality, professionalism and attention to detail.
Finance
Process accounts payable and supplier invoices.
Prepare and issue customer invoices.
Monitor accounts receivable and follow up outstanding debtor accounts.
Perform daily, weekly and monthly bank reconciliations, investigating and resolving any discrepancies promptly.
Reconcile company credit card and expense transactions.
Reconcile general ledger and balance sheet accounts.
Maintain accurate financial records and supporting documentation.
Assist with budgeting, cash flow monitoring and financial administration.
Maintain supplier and customer account records, ensuring information is current and accurate.
Process employee expense reimbursements and reconcile supporting documentation.
Prepare payment runs for approval and process electronic payments to suppliers.
Ensure all financial transactions are processed in accordance with company policies and internal controls.
Assist with the preparation of financial reports and other administrative tasks as required by management.
Contribute to the continuous improvement of finance systems, processes and reporting.
Payroll
Process weekly payroll accurately and within required deadlines.
Interpret and apply the Company's Enterprise Agreement, Awards and employment contracts.
Calculate ordinary hours, overtime, penalties, shift allowances, meal allowances, , travel allowances and other employee entitlements.
Process leave applications, leave accruals and termination payments.




Prepare and submit Single Touch Payroll (STP) reporting.
Process superannuation, PAYG withholding and payroll tax obligations.
Maintain accurate employee payroll records.
Respond to payroll enquiries from employees and management.
Ensure compliance with Fair Work legislation, taxation requirements and company policies.
Operational & Administrative Support
Review employee timesheets, dockets and supporting documentation prior to payroll processing.
Assist with collating, reviewing and reconciling daily dockets, timesheets and supporting documentation to ensure accurate and timely customer invoicing.
Liaise with operational staff to obtain missing or incomplete dockets and resolve discrepancies prior to invoicing or payroll processing.
Assist with preparing and issuing customer invoices and ensuring all supporting documentation is complete and accurate.
Monitor invoice status and assist in resolving customer queries relating to invoices and supporting documentation.
Maintain employee records, payroll records and personnel files.
Maintain supplier, customer and subcontractor records, ensuring information is accurate and up to date.
Assist with onboarding and offboarding administration, including employee documentation and record management.
Maintain company filing systems and ensure finance, payroll and operational records are accurately filed and easily retrievable.
Prepare reports, correspondence and other administrative documentation as required by management.
Help Answer and direct telephone calls, respond to general enquiries and assist visitors in a professional manner.
Coordinate incoming and outgoing mail, email correspondence and general office administration.




Build and maintain positive working relationships with employees, customers, suppliers and subcontractors.
Maintain a high level of confidentiality in relation to employee, customer and company information.
Ensure all duties are performed in accordance with company policies, procedures and legislative requirements.
Identify opportunities to improve finance, payroll and administrative processes and contribute to continuous improvement initiatives.
Undertake any other duties reasonably requested by the Directors or Management Team that are consistent with the position.
Skills & Experience
Essential
Previous experience in payroll processing.
Previous experience in accounts payable and accounts receivable.
Strong understanding of Australian payroll legislation.
Experience interpreting Awards and/or Enterprise Agreements.
Proficiency in Microsoft Office, MYOB.
Excellent numerical, analytical and reconciliation skills.
High level of accuracy and attention to detail.
Strong organizational and time management skills.
Excellent written and verbal communication skills.
Ability to maintain strict confidentiality.
Ability to work independently and manage competing priorities.
Desirable
Experience within the crane hire, construction, civil, transport or mining industries.
Experience using accounting and payroll software (e.g. MYOB, Xero or similar).
Understanding of project costing, plant hire administration and customer invoicing.
Knowledge of GST, BAS, payroll tax and superannuation requirements.
