About LMS Newcastle
LMS Newcastle is a growing building, maintenance and construction company servicing Newcastle, Lake Macquarie, the Central Coast and surrounding areas.
We deliver a wide range of works across:
maintenance and reactive works,
renovations and residential building,
commercial fitouts,
roofing and remediation,
disability and SDA housing,
aged care and facilities maintenance,
and project-based construction works.
Our business is growing steadily, and we are now looking for an organised and proactive Operations Coordinator to help support and streamline the day-to-day operational side of the business.
About the Role
This is not a standard administration role. You'll become a key part of the operational engine room of the business, coordinating workflow, scheduling, client communication and administration across our maintenance and construction operations. Beyond keeping jobs moving, you'll have the opportunity to improve workflows, document procedures, implement new technology and help shape how the business operates as it continues to grow.
The role will initially focus heavily on:
maintenance coordination,
scheduling,
workflow management,
client communication,
subcontractor coordination,
and ServiceM8 administration.
This role will work closely with the business owner and has the potential to grow into a senior operations role over time. You'll have genuine input into how the business operates, with the opportunity to recommend and implement improvements as you grow into the role.
The role can be:
full-time or part-time,
hybrid or remote-based,
and structured flexibly for the right candidate.
This role will evolve as the business grows. We are looking for someone who wants to grow with us, take ownership and become a trusted operational leader within the business.
Key Responsibilities
Coordinate scheduling of trades and subcontractors
Manage ServiceM8 workflows and job administration
Monitor open jobs and ensure workflow progression
Coordinate reactive maintenance requests
Follow up quotations and client approvals
Liaise with clients, suppliers and subcontractors
Prepare completed jobs for invoicing
Develop and maintain SOPs
Identify and implement workflow improvements
Assist with automation and technology initiatives
About You
We are looking for someone who is:

You will ideally have experience in:
trade services,
construction,
facilities maintenance,
service coordination,
or operational administration.
Experience using ServiceM8 or similar job management software (such as Simpro or AroFlo) will be highly regarded.

Salary
Salary will be based on experience and capability.
Indicative range:
$80,000–$100,000 + super (full-time equivalent), depending on experience and capability.
Flexible arrangements available for the right candidate.
