Position Overview:
As a property administrator, you play a key role in the efficient management and operation of properties under management by Perdaman. You will assist the general property manager and property supervisor by overseeing administrative tasks related to property management, repairs and maintenance, lease agreements, tenants' relations, and general operational support. Your role requires robust organisational, communication, and problem - solving skills to ensure the smooth day to day operations of the properties.
1. Lease Management:
-Update and follow up the lease movement register and follow up on actions where required.
-Complete and keep updated lease snapshot documents for all new and current leases.
-Monitor lease expiry dates, review dates and other key information and report to line manager.
-Monitor and update bank guarantee database.
-Collect data and update tenancy schedule on excel databases and Cirrus 8 software.
-Completing leasing packs and filing systems.
-Filing, archiving, and preparing lease documentation ready for line manager approval.
2. Casual Mall Leasing
-Taking bookings from interested participants & community organisations and forward to Mall Managers for processing.
-Monitor monthly Casual Mall leasing (CML) performance comparing rental income vs budget.
-Review the trading performance of each CML trader after each booking & log
-Actively chase up local leads and seek repeat bookings.
-Develop a strong partnership with CML leasing consultant, share centre demographic data & Meet quarterly to review performance.
-Assist in executing a market leading community focused market programme
-Provide in mall & Advertising. Monitor effectiveness & ensure all retailers benefit from such exposure.
-Regularly meet with our retailers discussing their performance, seeking feedback& offering council.
-Assist in develop strategies to build a retailer-based community & review regularly.
-Understand catchment demographics sharing this data regularly with our retailers.




-Assist in complete quarterly retailer health checks doing a deep dive into their business ensuring alignment with catchment wants & needs.
4. Administrative Tasks
-Point of contact with specialities and major retailers for any incoming inquiries.
-Create and maintain one tenant database of contacts for the following:
-Tenant details, (shop # and trading name).
-Tenant emergency after hours contact details (name and mobile numbers) *** to be reviewed and updated every 3 months; and
- Tenant contact details for debtors (name and telephone numbers)
-Corresponding with stakeholders including, tenants, contractors, council, community groups and members of the public.
-Handling incoming / outgoing post and distribution thereof
-Monitoring incoming emails to property inboxes as directed by line manager.
-All feedback & complaints are welcomed, encouraged, acknowledged & logged
-Perdaman responds to feedback ensuring our Centres are always Clean, Safe & Welcoming
-Associated trend analysis is reviewed monthly, seeking to proactively satisfy the catchment's wants & needs.
-Monthly reporting of sales, traffic, incidents, marketing effectiveness, complaints & feedback is consistent & reported to benefit the stakeholder
-Percentage rental income is monitored, and strategies actioned to increase the volume of retailers paying the additional rental income
-Any outlying statistical variances are promptly investigated and explained to stakeholders
-Trend analysis is reviewed monthly aiding decision making benefiting our Retailers, shoppers & Perdaman.
Qualification Requirements
-Associate or bachelor's Degree in a related field is a plus.
-Prior experience in property management, Real estate, or a related administrative role
-Strong Organizational Skills and attention to detail.
-Excellent Communication and Interpersonal Skills.
-Proficiency in property management software and MS Office suite.
-Understanding of Property management laws and regulations.
-Ability to multitask, prioritize, and work in a fast – paced environment.
