EXECUTIVE ASSISTANT TO THE CEO
SOUTH OF THE RIVER
3 MONTH CONTRACT
$***** PER HOUR
IMMEDIATE START!
Delivery of confidential and high-quality executive support services to the CEO and Shire President and other staff (as required).
Being the first point of contact and handling of incoming and outgoing correspondence on behalf of the CEO and Shire President.
Management of the CEO's daily schedule and meetings.
Monitoring and assessment of all telephone, written and personal enquiries. Respond to enquiries or refer to relevant Director or officer if appropriate, including appointments.
Research and coordinate response to Councillor requests and assist in preparation of presentations to Councillors.
Plan and organise meetings and appointments to ensure that the relevant officers and the necessary information are available. Ensure that the diaries remain current. Attend meetings as required.
Coordinate and liaise between the CEO, Shire President, councillors, Directors and other officers.
Other duties as requested by the CEO.
Ensure all correspondence and reports are filed and maintained in the records management system
Coordinate and facilitate special projects as directed by the CEO.
Assist in the research and preparation of reports for meeting agendas as required.
Initiate follow up actions from meetings.
Coordinate and meet with other PA's and support staff on a regular basis to work on various projects as required
Essential Criteria
Demonstrated experience within in a similar position within Local Government. Excellent written and verbal communication skills.
Solid attention to detail, first rate secretarial skills and professional manner
Well-developed organisational and time management skills.
Advanced computer operation skills with demonstrated experience with Microsoft Office.
Ability to work independently with limited supervision and to use initiative.
Proven ability to work under pressure, use initiative and be well organised.
Flexible and proactive approach to supporting the needs of the CEO and Shire President.
Current "C" class drivers licence.
Experience in agenda preparation and taking minutes.
Desirable Criteria
Understanding of the operation of local government.
Experience with the TechnologyOne suite of products (or similar).
