Purpose of Role
In this role as Contracts Officer, you will be responsible for the accuracy of the books.
Be a proactive and "hands on" participant in the team that will ensure accurate and timely preparation of financial information.
To effectively assist in the commercial aspects of the company's contracts with its customers from time of order acceptance until payment is received in full.
To ensure compliance with all contract terms and conditions including invoicing and payment terms during the progress of all contracts.
Role Specific Deliverables
Administration
Update outstanding monies and cashflow spreadsheets to include new sales orders.
Process Contract variations and update appropriate outstanding monies and cash flow spreadsheets if required for assigned customers.
Ensure timely invoicing by running the Billings due list on a weekly basis.
Process all warranty request forms into SAP and pass paperwork onto relevant stakeholders.
Contracts Administration and Sales
Attend "Sales Handover" meetings. Ensure all documentation required to form an enforceable contract is properly completed and filed. Become familiar with all commercial aspects of the contract, including terms and conditions applicable, terms of payment, required ship dates etc.
Coordinate and dispatch payment notifications in the absence of other team members and mark outstanding monies and cashflow spreadsheets as paid.




Enter current Sales Orders and Projects into SAP.
Validate customer sales from the Packaging Team, Process Agency Sales, Intercompany orders.
Issue Shipping Invoice for the corresponding Sales Order upon receipt of equipment notifications.
Ensure all relevant Group Invoices are uploaded into the Ariba Platform and other platforms
Create commercial Invoices for Tech Docs, Marketing and Purchasing Departments.
