Purpose
The Office Manager is a unique and varied role, responsible for coordinating accommodationmanagement tasks, delivering operational protective security risk management and servicedelivery, and ensuring that each office location adheres to Tribunal policies and procedures tosupport operational and strategic outcomes. This role requires a high degree of autonomy,professionalism, integrity and the ability to thrive in a challenging workplace. Office Managers are required to work on-site at a designated Tribunal office. Daily on-site work is required to address specific duties effectively and out of hours contact may be required to manage urgent building issues.
Key Responsibilities
Accommodation Management:
Ensure office facilities are fit for purpose and compliant with relevant regulations by coordinating fit-out adjustments, refurbishments, maintenance, and the repair of services and equipment. Act as the primary point of contact for building-related issues and emergency responses.
Expertise:
Provide informed operational advice and guidance to members and staff on accommodation, property, facilities, protective security frameworks, procedures, and asset management. Deliver in-house training on security procedures and promote a positive risk culture.
Stakeholder Management:
Liaise, negotiate, and build productive working relationships with internal and external stakeholders, government agencies, service providers, suppliers, contractors, and building management representatives.
Support:
Assist members and staff with workspace allocations, coordinate the setup of special events,
and support diverse requests from Assistant Directors relating to facilities, WHS matters, and risk management policies and procedures.
Required Capabilities and Experience
Demonstrated knowledge of property, facilities, risk, and asset management best practices, with a strong understanding of relevant government legislation, policies, and guidelines.
Proven ability to take a leadership role during service disruptions or emergency situations, exercising sound judgement and problem-solving skills to resolve issues or escalation them as appropriate.
Ability to deliver relevant training, coordinate and support special events, and respond to a diverse range of requests relating to facilities, WHS, and risk management policies and procedures.
Well-developed organisational and coordination skills, with the ability to set priorities, coordinate meetings, conduct inquiries and research, and support workforce compliance with policies and procedures.
High-level interpersonal, written, and verbal communication skills, with the ability to engage effectively with a broad range of stakeholders, influence positive workplace outcomes, and maintain productive working relationships.
Ability to work effectively under pressure, manage office layout and fit-out projects, balance competing priorities, and exercise sound judgement, discretion, and tact.
Strong analytical skills, with the ability to maintain accurate records, conduct asset stocktakes, analyse data, and provide timely, accurate, and informed responses to information requests.
