About Us
Gungahlin Specialist Clinic is a new, purpose-built, multi-specialty medical centre located in Gungahlin Village, North Canberra.
Our vision is to bring high-quality specialist care closer to the growing Gungahlin and North Canberra community.
The clinic brings together experienced specialists across multiple disciplines, including Respiratory Medicine, Geriatric Medicine, Renal Medicine, Oncology, Gastroenterology, and other visiting specialties as the clinic continues to expand.
The clinic is also supported by an on-site lung function laboratory and is conveniently located close to pharmacy, pathology, and imaging services.
We are building a modern, efficient, patient-centred specialist clinic with strong systems, excellent communication, high-quality patient experience, and a supportive team culture from the beginning.
We are seeking an experienced, motivated, and highly organised Practice Manager to take ownership of day-to-day operations and help establish Gungahlin Specialist Clinic as a leading specialist centre in Canberra.
The Role
This is a hands-on leadership, clinical support, administrative, operational, and financial management role within a growing specialist medical clinic.
As Practice Manager, you will work closely with the Clinic Director, visiting specialists, clinical staff, and administrative team to ensure the smooth running of the clinic.
In the early growth phase, this role will require flexibility and willingness to be directly involved in all areas of the practice, including patient-facing duties, clinical support tasks, administrative workflows, staff coordination, billing, and financial oversight.
You will be responsible for helping establish strong systems from the ground up while also supporting the day-to-day functioning of the clinic.
This includes managing patient enquiries, supporting reception workflows, coordinating appointments and referrals, assisting with clinical room preparation and patient flow, liaising with doctors and external providers, and ensuring that billing, payments, reconciliation, and financial processes are completed accurately.
This role would suit someone who is proactive, organised, hands-on, commercially aware, and comfortable taking ownership of a new and growing medical practice.
The successful candidate will be expected to lead by example, assist wherever required, and help create a professional, efficient, patient-centred, and financially well-managed clinic.
Key Responsibilities
Oversee the day-to-day operations of the specialist clinic
Support patient-facing services and ensure a high-quality patient experience
Coordinate clinical support workflows, patient flow, and room preparation
Manage reception and administrative staff
Oversee appointment scheduling across multiple specialists
Manage referrals, recalls, reports, correspondence, and follow-up processes
Oversee Medicare, DVA, private billing, TYRO payments, and daily reconciliation
Assist with financial processes, billing accuracy, and account follow-up
Support rostering, staff training, supervision, and workflow improvement
Liaise with specialists, allied health providers, referrers, suppliers, and external stakeholders
Manage patient enquiries, concerns,
and complaints professionally
Support privacy, compliance, accreditation, and clinic policy requirements
Manage stock control, supplier communication, and facility-related matters
Assist with onboarding of new specialists and services
Help further establish efficient systems, processes, and operational standards for the clinic
Requirements & Essential Skills
Minimum 2 years' experience as a Practice Manager or senior administrator in a GP, specialist, or healthcare setting
Solid understanding of Medicare, DVA, private billing, and specialist practice billing workflows
Experience using medical practice software and confidence learning new systems
Experience with TYRO, EFTPOS reconciliation, daily billing review, and payment processes
Proven ability to manage reception and administrative staff
Strong organisational, problem-solving, and time-management skills
Ability to work independently and take ownership of clinic operations
Excellent communication skills with doctors, patients, staff, referrers, and external providers
Understanding of patient privacy, confidentiality, compliance, and accreditation requirements
Experience developing or improving practice systems, policies, and workflows
A professional, calm, and patient-centred approach
Flexibility and willingness to be hands-on during the clinic's growth phase
