Pre-Delivery Coordinator / Vehicle Licensing Clerk

We are seeking an organised, motivated and reliable Pre-Delivery Coordinator / Vehicle Licensing Clerk to join our busy dealership team.

This role is responsible for coordinating the preparation and delivery of sold vehicles while ensuring all licensing, registration and administration requirements are completed accurately and on time.

The successful applicant will work closely with the sales, service, detailing and administration departments to ensure every vehicle is ready for customer handover to a high standard.

Key Responsibilities

- Coordinate the pre-delivery process for all new and used vehicles
- Schedule vehicle inspections, detailing, accessory fitment and mechanical preparation
- Ensure vehicles are completed and ready for delivery by the required deadline
- Monitor vehicle progress and communicate updates to the sales team
- Complete vehicle licensing, registration and transfer documentation
- Process Department of Transport paperwork accurately and efficiently
- Submit licensing applications and maintain registration records
- Check vehicle details, VINs, engine numbers and customer information
- Prepare number plates, registration documents and vehicle handover paperwork
- Maintain accurate records within dealership systems
- Coordinate vehicle movements between departments and external suppliers
- Follow up outstanding paperwork, repairs, accessories and approvals
- Assist with stock control and vehicle administration when required
- Ensure dealership processes and compliance requirements are followed

About You





You are organised, detail-oriented and thrive in a busy environment where managing multiple tasks and deadlines is part of the day-to-day. Previous experience in automotive administration, pre-delivery coordination or vehicle licensing is highly regarded, and knowledge of WA Department of Transport registration and licensing processes is an advantage.

You have strong communication and computer skills, enjoy working collaboratively with sales, service and administration teams, and bring a positive, professional and proactive attitude to everything you do.

A current Australian driver's licence is essential.
