The Opportunity

Pindari is seeking a proactive and highly organised Project Administrator to support the day-to-day operations of our Projects Team. This is an exciting opportunity for an experienced administrator who enjoys working in a fast-paced project environment and thrives on keeping projects running smoothly from start to finish.

About the Role

Reporting to the Project Manager and working closely with site leadership, contractors and project teams you will provide essential administrative and coordination support across multiple projects. Your ability to manage competing priorities, communicate effectively with stakeholders, and maintain accurate project records will contribute to the successful delivery of our projects.

Key Responsibilities

- Coordinate project schedules, site access, and work dates with internal and external stakeholders.
- Maintain project registers, trackers, and project documentation.
- Prepare and issue project correspondence and client documentation.
- Monitor project progress and update project schedules and milestones.
- Assist with obtaining quotations, purchase orders, and procurement requests.




- Support monthly client invoicing and project administration activities.
- Coordinate project mobilisation requirements and training bookings.
- Prepare meeting agendas, take minutes, and distribute action items.
- Provide administrative support to Project Managers, Coordinators, Supervisors, and the wider project team.
- Maintain accurate filing systems and ensure project documentation is current and compliant.

About You
You are a motivated and detail-oriented administrator who enjoys supporting project teams and building positive working relationships. You are adaptable, organised, and confident managing multiple priorities while maintaining a high level of accuracy.
To be successful, you will have:

- Previous experience in a Project Administrator or Project Coordination support role.
- Excellent organisational and time management skills.
- Strong written and verbal communication skills.
- A customer-focused approach with the ability to build positive relationships with clients, suppliers, and colleagues.
- Advanced skills in Microsoft Office, particularly Excel, Word, Outlook, and ideally Microsoft Project.
- Exceptional attention to detail and document management skills.
- The ability to work independently while contributing positively to a collaborative team.
- Previous administration experience working for or alongside BHP, with demonstrated experience using ERMS.

Desirable

- Certificate IV, Diploma, or tertiary qualification in Business, Project Management, or a related discipline.
- Experience using project management or document control systems such as Aconex.
