About CTE
CTE – Custom Transport Equipment is a premium Australian manufacturer of heavy transport truck bodies and trailers. Based in Drouin, we design and build high-quality, custom‑engineered equipment for customers who value reliability, craftsmanship, and long‑term performance.
We are in a genuine growth phase — we have recently expanded the team with people who have lifted the capability and ambition of the business to new heights. This role sits at the financial and operational heart of CTE, and the person who fills it will be trusted to keep things running accurately, reliably, and without needing to be chased.
The Role
This is a trusted, senior office role covering three core areas: end-to-end accounts, HR and people operations, and executive support to the Managing Director.
The accounts scope is genuine and complete. You will own the full AR and AP cycle, run weekly payroll, and prepare payments through to bank — ready for the MD to review and approve. That level of access requires someone with the technical accuracy and personal integrity to match. There are no shortcuts in this part of the role, and we are not looking for someone who needs hand‑holding to get it done.
You will work alongside our Customer & Business Support Coordinator, who owns customer service, marketing, and production administration. You will share front‑of‑house and reception duties on an ongoing basis and cover each other during leave. This is a two‑person office administration team — mutual support and a collaborative approach are non‑negotiable.
Key Responsibilities
1. Accounts & Finance
- Accounts Receivable — invoicing, customer follow‑ups, and payment allocation
- Accounts Payable — supplier invoices, reconciliations, and payment processing
- Weekly payroll processing in Xero — accurate, on time, every time
- Bank reconciliations and preparation of payments for MD review and approval
- Month‑end close and financial reporting support
- Liaising with the external accountant and supporting audit and compliance requirements
- Xero is the primary platform — proficiency is essential, not optional
2. HR & People Operations
- End‑to‑end recruitment support — job advertising, screening, interview coordination, and onboarding
- Maintaining employee records, contracts, and HR documentation in line with Fair Work obligations
- Managing leave, timesheets, and workforce records
- Supporting performance management processes and maintaining associated documentation
- Acting as a trusted, consistent point of contact for people matters across the team
- Building and maintaining CTE's HR processes and document library as the business grows
3. Executive & Office Support
- Direct administrative support to the Managing Director — correspondence, scheduling, reporting, and document preparation
- Acting as a central coordination point across office, finance, and operational functions
- Maintaining organised systems, records, and documentation across the business
- Sharing front‑of‑house and reception duties with the Customer & Business Support Coordinator
- Contributing to OH&S; documentation and compliance processes as needed, in support of the broader team
About You
You are an experienced accounts and administration professional who takes genuine ownership of what they do. You are meticulous with numbers,
consistent in your processes, and the kind of person who finds errors before anyone else does. You understand that in a small business, the accounts function only works when it is done properly — and you hold yourself to that standard without needing to be reminded.
Beyond the technical skills, you are someone others trust. The MD will rely on you for timely, accurate financial information and the confidence that payments are set up correctly. The team will look to you to handle the people side of the business with care and discretion. That combination — sharp on the numbers, sound on the people — is what we are genuinely looking for.
What you will bring:
- Demonstrated end‑to‑end accounts experience — AR, AP, payroll, and bank reconciliations
- Xero proficiency is a firm requirement — please do not apply if you do not have this
- HR or people administration experience — contracts, onboarding, Fair Work compliance
- Experience supporting senior leaders with administrative tasks
- Strong Microsoft 365 skills (Outlook, Excel, Word, Teams)
- Exceptional attention to detail and a track record of accurate, reliable work
- Discretion and sound judgement — you will handle sensitive financial and people information daily
- Manufacturing, trades, or industrial business experience is a genuine advantage
