We are looking for a highly organised and proactive Business Project Officer to support our regional teams, helping manage onboarding and administration services for our large infrastructure projects. Strong relationship‑building and communication skills are essential to collaborate effectively and ensure smooth project delivery.
About the Role
As the Business Project Officer you will be responsible for supporting our Project managers and Program Directors in delivering efficient administration services. You will manage the onboarding and offboarding processes, ensuring timely and accurate system access and maintaining data integrity. This role involves working closely with contracting delivery partners as well as internal teams such as IT, HR, contractors and suppliers to ensure smooth operations across all levels of the project lifecycle.
You will thrive in a fast‑paced, reactive environment, managing multiple tasks simultaneously with attention to detail and a focus on delivering excellent service outcomes.
Key Responsibilities
- Onboarding: Manage the seamless onboarding and offboarding of contractors and staff, ensuring correct system access, ID cards, office access and other relevant materials.
- Project Coordination: Support project teams by facilitating day‑to‑day coordination activities, including fleet management, access control and managing communication with contractors and suppliers.
- Senior Management Support: Manage reporting data,
prepare presentations, briefing notes and coordinate communications to internal and external staff, and assist with diary management to ensure smooth scheduling and prioritisation of key activities.
- Stakeholder Engagement: Build strong relationships with Program Directors, Project Managers, contractors and internal & external stakeholders, understanding their needs and providing tailored administrative support.
- Data Management: Maintain accurate and up‑to‑date records for contractors, staff and fleet management in systems like InEight Document, SWIM, Excel and Microsoft Office applications.
- Problem‑Solving: Proactively manage competing priorities, responding to urgent requests in a timely manner, and using your initiative to address issues as they arise.
To Succeed in This Role
- A Diploma in Business Administration, related discipline or equivalent experience. (Qualifications in Change Management and Lean Thinking or equivalent are desirable.)
- Experience as a business project officer supporting large complex project teams in industries such as Sydney Water, Government and construction infrastructure.
- Solid communication skills to craft clear and professional presentations, briefing notes and other materials, enabling you to connect with people at all levels and tailor your message to suit the audience.
- Technical competency and reporting skills: proficiency in Excel and Microsoft Office, experience managing data, creating reports and handling diary management. Experience with systems like InEight Document and SWIM is a definite asset.
- Organisational skills and prioritisation: thrive in a fast‑paced environment with competing priorities and excel at prioritising tasks,
particularly when it comes to managing risks effectively.
- Adaptability and efficiency: ability to quickly adapt to changing demands and needs with ease, managing tasks efficiently while maintaining focus on achieving key business outcomes.
- Must be an Australian Citizen or Permanent Resident.
