Administration Officer - Engineering and Infrastructure Services

Location: Box Hill, VIC, AU

Temporary full‑time | 5 weeks annual leave + monthly day off included

About the role

The Infrastructure Services Department comprises four service hubs, supported by a central administrative team. Each hub provides infrastructure and facilities support to a major Eastern Health campus, as well as a number of smaller sites. Eastern Health operates across more than 50 locations throughout Melbourne's eastern suburbs.

The department is responsible for ensuring building compliance, maintaining facilities and critical services, delivering minor building works, supporting equipment maintenance, contributing to capital projects, and managing construction contractors.

Working as part of a collaborative team, this role provides high‑level administrative, secretarial and operational support, contributing to the efficient functioning of the Infrastructure Services management team. A key focus is the coordination and management of Minor Works projects across all Eastern Health sites, ensuring projects are delivered efficiently and in line with organisational requirements. The position also provides broader support across the department as required, under the direction of the Operations, Systems and Administration Manager – Engineering and Infrastructure Services.

Qualifications

- Extensive experience providing high‑level administrative support in a complex environment.




- Demonstrated ability to work independently, exercise initiative and proactively manage priorities.
- Strong customer service focus with a commitment to delivering high‑quality support.
- Proven ability to work collaboratively as part of a team and build effective working relationships.
- Excellent organisational skills, with the ability to manage competing priorities and meet deadlines.
- Highly developed interpersonal, communication and stakeholder management skills.
- Previous experience providing administrative support within a healthcare or hospital setting.
- Proficiency in online meeting platforms and technologies, including teleconferencing and videoconferencing systems.
- Working knowledge of Pulse.
- Experience using project management software, such as Aconex.
- Working knowledge of Facilities Management Information Systems (FMIS).

Vaccination and health requirements

Healthcare workers are strongly recommended to follow COVID vaccination recommendations provided in the Australian Immunisation Handbook (based on ATAGI advice). Seasonal vaccination against influenza is a mandatory requirement of this role and an offer is conditional on this being up to date prior to employment.





Those offered and/or who start between January and April do not require an up‑to‑date influenza vaccination to progress, provided they are aware of its requirement later in the year. Those offered and/or who start between May and December must have an up‑to‑date influenza vaccination prior to offer.

Vaccination and screening for immunity to vaccine‑preventable disease is a mandatory requirement of this role.
