Clinic Practice Officer
Victoria Psychological Assessment and Treatment Services (VPATS) Pty Ltd is a psychology and NDIS service provider committed to improving quality of life, mental health outcomes, and reducing behaviours of concern (e.g., aggression and problematic sexualised behaviours) through evidence-based assessment and intervention.
We are seeking a highly organised and motivated Clinic Practice Officer to join our growing team. This role is critical to ensuring the smooth, efficient, and qualified day-to-day operation of our practice while supporting clinicians, clients, and management.
Key Responsibilities
General Clinic Duty
- Respond to phone calls, emails, and client enquiries
- Coordinate appointment bookings and manage clinician calendars
- Assist with client enquiries and service coordination
- Manage referrals and client intake processes
- Prepare and issue Service Agreements and intake documentation
- Maintain up-to-date client records within the practice management system
- Liaise with support coordinators, plan managers, and families regarding service schedules
- Monitor participant funding and support administrative processes related to NDIS services
- Promote clinic workflows and update operational documents
General Practice Duty
- Collect, submit and monitor NDIS or client bill claiming
- Monitor clinician service records and documentation
- Assist with payroll processing and staff payment
- Handling clinic expenditure billing processes
- Assist with recruitment processes including job advertisements and interview
- Support staff onboarding; maintaining staff documents, equipment and basic IT accessibility
- Provide clinic practice support to clinicians and management
- Assist with assigning and maintenance of practice systems including Splose, Outlook, Softphone and Office systems
We are looking for someone with following selection criteria:
- Highly organised with strong attention to detail
- Friendly and professional when communicating with clients and staff
- Comfortable managing multiple administrative tasks simultaneously
- Comfortable to learn to improve practice
- Experience working in NDIS or allied health clinic space
- Familiar with the Splose practice management system (highly regarded)
- Experience with payroll processing and NDIS claim submissions (highly regarded)
