Building Maintenance Contract Officer
Job Title: Building Maintenance Contract Officer
Location: Local Council
Employment Type: Casual (38hrs a week, with potential for full-time permanent positions)
About the Role
We are seeking a skilled and reliable Building Maintenance Contract Officer to support the Building Maintenance Team in providing an efficient and effective building maintenance service across more than 300 buildings that Council is responsible for to deliver high-quality maintenance outcomes.
Assist the Building Maintenance Team with managing a range of contractors including electrical, plumbing, cleaning, sanitary services and security.
Key Responsibilities:
Building Maintenance Administration
· Receive and act upon requests for Building Maintenance including multiple trades, security and cleaning. Allocate requests to the appropriate work team member or Contractor and where appropriate set the priority for the completion of the request.
· Provide immediate response to emergency requests for assistance.
· Maintain register of requests, regularly review degree of completeness, review status of requests and generate reports relating to status of action requests.
· Liaise with work team members or Contractors to ensure completion of requests within timelines.
· Maintain a Customer Request Management system and performance monitoring guide and provide monthly and quarterly statistics.
· Issue work instructions using an Asset Management System to Council’s Contractors and ensure that works are costed to the correct budget allocations.
· Monitor Contractor performance. Produce, issue and process status reports and issue non-compliance letters as required.
· Liaise between Contractors,
Council Departments and Council Facility User Groups to ensure that work is completed at a mutually acceptable time and within the time required.
· Monitor the annual building maintenance program and issue work orders to contractors to carryout preventative maintenance and the start of each month.
· Ensure that Contractors are issued with work orders for emergency works.
· Liaise with Council Departments to ensure that work is completed to the required standard.
· Receive daily cleaning and security reports from Council facilities and resolve outstanding issues with the Contractor.
· Process invoices, raise purchase orders and prepare Contract Payment forms ensuring payment forms are accurate and processed for payment within the terms and conditions of the contract specifications.
· Maintain a comprehensive contracts register and management system with appropriate follow-up of certificates of currency for public liability insurance, work cover certificates, contract extensions and variations.
· Familiarity with OHS compliance such as Working from Heights permits.
Essential
· Qualifications in Building Maintenance, Facilities Management or Property Management, or similar field. or lesser formal qualifications with a minimum of 5 years relevant experience in building maintenance,
a building and construction environment, facilities management, or property management.
- White Card (Construction Induction)
- Current Driver’s Licence
- Experience in building or trade maintenance
- Knowledge of workplace health and safety practices
- Strong communication and teamwork skills
- Ability to plan and manage own workload
· Knowledge of hard and soft services.
· Demonstrated ability to work in a high pressure, rapid paced environment with competing priorities.
· Demonstrated experience in working with and gaining cooperation from Contractors, Customers and other staff.
· Demonstrated experience in using a CRM, Asset Management System, Finance 1, and Microsoft Office.
· Knowledge regarding Council, OH&S; and EEO Policies and Practices.
Desirable
- Manual driver’s licence
- Experience with woodworking machinery
- Working at Heights, EWP, and/or pre-employment medical clearance
- Familiarity with digital maintenance systems and tools

- Police Check to be obtained prior to commencement
