DVA is seeking an APS5 Records Officer to join the Information and Records Management (IRM) Section, within the Portfolio Management Branch.
Our ideal candidate has experience supporting information and records management activities, with an understanding of practical recordkeeping approaches and how they are applied in operational environments.
You have experience managing records across physical and/or digital environments and can apply established records management principles and procedures in a consistent and practical way. You are comfortable working with an EDRMS (DVA uses Content Manager) and can work across different systems and operational environments.
You can analyse information and provide practical advice to support compliance and continuous improvement. You assess how work is undertaken and identify opportunities for improvement, supporting more effective and consistent ways of working.
You work effectively both independently and as part of a team and can communicate and collaborate with stakeholders across business areas and levels of seniority, including in geographically dispersed teams.

DUTIES
As an APS 5 Records Officer you will be required to:
- Provide advice and support on records management requirements, including the application of relevant policies, procedures and standards in operational work.
- Administer and maintain records systems, including the Electronic Document and Records Management System (EDRMS), to ensure records are captured, managed and accessible appropriately.
- Support records lifecycle and access activities, including classification, access, retention and disposal.
- Apply information security,
privacy and confidentiality requirements in the management of records and information.
- Develop, update and maintain records management guidance, procedures and supporting user materials.
- Maintain records data and support reporting, compliance monitoring and process improvement activities.
- Build effective working relationships with stakeholders to support good recordkeeping practices.
- Manage workload, staff and project administration activities, including monitoring tasks, maintaining documentation and delivering outcomes within agreed timeframes.
- Exercise sound judgement to resolve routine and moderately complex records management issues, escalating more complex matters where appropriate.
ELIGIBILITY
- Under section 22(8) of the Public Service Act 1999, employees must be Australian citizens to be employed in the Australian Public Service (APS).
- All applicants external to DVA offered employment will be required to successfully undergo a pre-engagement screening check, even if they have a security clearance. The screening check is conducted in accordance with the Australian Government Protective Security Policy Framework requirements.
- The successful candidate will be required obtain and maintain a Baseline Vetting (AGSVA) security clearance.
