Position: Project Coordinator (Tenders, Bids & Government Projects)

Reports to: Director of Risk and Strategy

Location: Australia (with possible hybrid/remote flexibility)

Department: Strategy & Operations

Employment Type: Full time

About the Role

We are seeking a highly organised and detail-oriented Project Coordinator to manage the end-to-end coordination of tenders, bids, and government-related projects for our growing IT Managed Service Provider (MSP). This role is critical in supporting business growth through successful bid submissions, compliance management, and project initiation.

Key Responsibilities

Tender & Bid Management

- Identify, track, and evaluate tender and bid opportunities (including government, local council, and enterprise opportunities).
- Coordinate the preparation, compilation, and submission of high-quality tender and bid responses.
- Work closely with the Director of Risk & Strategy, technical teams, and finance to gather required information, pricing, and compliance documentation.

Project Coordination

- Support the successful transition of won bids into active projects.
- Develop and maintain project plans, timelines, resource allocation, and documentation.
- Track project milestones, deliverables, risks, and issues.

Compliance & Governance

- Ensure all submissions meet mandatory compliance, security, and regulatory requirements (e.g., ISO, IRAP, government security standards).
- Maintain accurate records, registers, and documentation for audits.

Stakeholder Coordination





- Act as the central point of contact between internal teams (Sales, Technical, Finance, Legal) and external clients/agencies.
- Schedule and facilitate meetings, workshops, and reviews related to bids and projects.

Reporting & Improvement

- Maintain a pipeline report of all tender/bid opportunities and their status.
- Analyse win/loss outcomes and contribute to continuous improvement of bid processes and templates.

Key Requirements

Experience

- 2–5+ years in project coordination, tender/bid management, or proposal management (ideally in IT, MSP, or government contracting).
- Proven experience with government tenders is highly advantageous.

Skills & Attributes

- Excellent written and verbal communication skills.
- Strong organisational and time management abilities — able to manage multiple deadlines.
- High attention to detail and accuracy.
- Proficiency in Microsoft Office Suite (especially Word, Excel, Project) and Google Workspace.
- Familiarity with tender portals (e.g., AusTender, VendorPanel) is a plus.

Pay: $53,000.00 – $85,000.00 per year
