Position Summary

The Administrative Assistant plays a key role in supporting the day-to-day operations of Etan Health Care by providing efficient administrative, customer service, and operational support. This role ensures the smooth running of the office while assisting management, service coordinators, support staff, clients, and external stakeholders. The position requires excellent organisational skills, attention to detail, and the ability to manage multiple priorities within a fast-paced NDIS environment.

Key Responsibilities

Administration & Office Support

· Provide administrative support to the management team and operational staff.

· Manage incoming phone calls, emails, and general enquiries professionally.

· Maintain accurate electronic and physical filing systems.

· Prepare correspondence, reports, letters, forms, and other documentation.

· Schedule meetings and appointments.

· Order and maintain office supplies and equipment.

· Assist with reception duties and welcome visitors to the office.

NDIS Administration

· Maintain client records in accordance with NDIS Practice Standards.

· Assist with onboarding new clients

· Support the maintenance of client files, ensuring information is current and compliant.

· Maintain confidentiality of client information at all times.

Operational Support

· Assist Service Coordinators and management with daily administrative tasks.

· Coordinate vehicle bookings, office maintenance, and equipment servicing.

· Support internal audits and quality assurance processes.





· Assist with document control and compliance requirements.

Communication & Customer Service

· Build positive relationships with clients, staff, and external stakeholders.

· Respond to enquiries promptly and professionally.

· Liaise with allied health professionals, support coordinators, government agencies, and community organisations when required.

· Promote Etan Health Care's values and commitment to person-centred support.

General Duties

· Ensure compliance with organisational policies and procedures.

· Maintain a clean, organised, and professional office workplace.

· Contribute to continuous improvement initiatives.

· Perform other administrative duties as directed by management.

Skills & Experience

Essential

· Previous experience in an administrative or office support role.

· Excellent written and verbal communication skills.

· Strong organisational and time management skills.

· High level of attention to detail.

· Ability to manage multiple priorities and meet deadlines.

· Intermediate to advanced Microsoft Office skills (Word, Excel, Outlook, PowerPoint).

· Ability to work independently and collaboratively within a team.

· Professional and confidential approach to handling sensitive information.

Desirable

· Experience within the disability, aged care, health, or community services sector.

· Knowledge of the NDIS and NDIS Practice Standards.

· Experience using client management systems such as ShiftCare or similar software.

Pay: $35.00 – $38.00 per hour
