The ideal candidate has strong numerical skills, proficiency in accounting software and Microsoft Excel, excellent organisational abilities, and valuable communication skills. Previous experience in an accounting or bookkeeping role is preferred, along with the ability to work independently and meet deadlines.
PURPOSE
Support the Business Manager and Accountant with general accounts administration tasks.
RESPONSIBILITIES
Reconcile all transactions in Xero Accounting Software
Compile Senior Management expense claims forms for approval
Monitor Accounts emails
Enter bills against purchase orders in the CRM software
Update the budget spreadsheet under appropriate debtors and creditors
Update the budget spreadsheet with projected income from the PPM
Process any credit card payments requested by the project team as required
Cross-check that bills for payment have been approved in the CRM software
Batch bills for payment each week
Batch urgent COD or deposit bills for payment once approved by the General Manager or Business Manager
Issue client invoices as required
Issue statements to Clients
Cross-check bills against supplier statements
Assist the project team as required
Follow up on supplier licences and insurances
Issue Supplier and Client onboarding forms and enter in CRM software
Research suppliers for stock/supply availability
Follow up on employee timesheets weekly and issue to management team for approval
Enter employee timesheets into Xero
Physical and digital filing
Ad hoc tasks as required
SKILLS AND EXPERIENCE
Relevant Accounts Administration Experience;
Completed or study towards Accounts/Bookkeeping qualification;
Attention to detail (essential);
Computer Competencies: (Microsoft Office)
Excellent communication skills (written and verbal);
Experience with accounting software Xero (preferred);
