Position Summary The Accounts Payable Officer is responsible for ensuring the accurate and timely processing of supplier invoices, payments, and expense claims while maintaining solid financial controls and excellent supplier relationships. This role supports the Finance team by ensuring compliance with company policies, accounting standards, and statutory requirements.
Key Responsibilities
Accounts Payable
- Process supplier invoices accurately and within required timeframes.
- Match purchase orders, invoices, and delivery documentation where applicable.
- Verify invoice coding and obtain appropriate approvals.
- Prepare and process payment runs in accordance with payment schedules.
- Reconcile supplier statements and investigate discrepancies.
- Respond to supplier enquiries promptly and professionally.
- Maintain accurate supplier records, including banking details and contact information.
- Monitor outstanding invoices and follow up on missing documentation or approvals.
Financial Administration
- Prepare month-end accounts payable close and reconciliations.
- Prepare month-end bank reconciliations
- Prepare accruals relating to unpaid supplier invoices where required.
- Support external audit requirements by providing documentation and explanations.
- Maintain electronic financial records in accordance with record retention policies.
- Ensure compliance with GST requirements and company financial procedures.
Process Improvement
- Identify opportunities to improve accounts payable processes and efficiencies.
- Assist in maintaining finance procedures and work instructions.
- Contribute to continuous improvement initiatives within the Finance team.
General Duties
- Build positive working relationships with internal stakeholders and suppliers.
- Maintain confidentiality of financial information.
- Provide support to other finance functions.
- Undertake other duties consistent with the role as reasonably directed.
