About the Role

We are seeking a highly organised and detail-oriented Administration Officer to join our team on a part-time basis (3/4 days per week) at our Wacol office. Working closely with the Finance team and operational stakeholders, you will play a key role in supporting our accounts payable and administration functions, ensuring supplier documentation is processed accurately, records are maintained to a high standard, and the office consumables are kept in stock.

This position is ideal for someone who enjoys working with systems, has exceptional attention to detail and takes pride in maintaining accurate records and delivering high-quality administrative support. You will be instrumental in ensuring supplier invoices, statements and supporting documentation are managed efficiently while contributing to the smooth day-to-day operation of the finance function.

Key Responsibilities

- Manage the accounts inbox and save incoming supplier invoices
- Review invoices for accuracy, including job numbers, purchase orders and supporting information.
- Liaise with suppliers to obtain missing or corrected documentation where required.
- Coordinate invoice approval workflows and maintain accurate approval records.
- Process, organise and maintain electronic and hard copy supplier documentation.
- Match supplier statements to invoices and reconcile outstanding items.
- Follow up outstanding invoices and supplier queries to ensure timely resolution.
- Match delivery dockets and supporting documentation to supplier invoices.
- Maintain supplier records, filing systems and document archives.
- Update and distribute supplier fuel levy information and maintain associated registers.




- Provide general administrative support to the Finance team while ensuring company procedures are consistently followed.
- General admin duties including stationery orders and kitchen consumables

About You

To be successful in this role, you will bring:
- Previous experience in an administration with exposure to accounts.
- Exceptional organisational skills with a high level of accuracy and attention to detail.
- Strong written and verbal communication skills with the confidence to liaise with suppliers and internal stakeholders.
- Experience working with Microsoft Office.
- The ability to prioritise tasks, manage competing deadlines and work independently.
- A proactive, reliable and solutions-focused approach to your work.
- The ability to follow established processes while identifying opportunities for improvement.
- Experience working within construction, civil, trade or project-based industries will be highly regarded but is not essential.
