We supply, install and support digital X-ray systems, cloud platforms, managed IT services, telecommunications and healthcare software for medical, veterinary and allied health practices nationwide.

We're a growing business with a strong reputation for professionalism, reliability and exceptional customer service. As our business continues to grow, we're looking for a highly organised Commercial Administrator to become an integral part of our team.

About the Role

This is a commercial administration role focused on coordination, communication and process management rather than sales.

Reporting directly to the Director, you'll manage the administration of customer enquiries from initial contact through to order completion. You'll work closely with customers, suppliers, freight providers and our technical team to ensure every opportunity progresses efficiently and nothing falls through the cracks.

Your responsibilities will include

- Triaging incoming customer enquiries and opportunities.
- Preparing quotations using established templates and pricing.
- Sourcing standard ICT and technology products from suppliers.
- Liaising with suppliers regarding pricing, availability and delivery timeframes.
- Coordinating freight, logistics and customer deliveries.
- Processing customer orders and maintaining accurate documentation.
- Providing regular communication to customers throughout the sales process.
- Maintaining accurate records within our business management systems.
- Working closely with our internal team to ensure projects transition smoothly from quotation through to delivery.

What You'll Need We're looking for someone who enjoys being organised, thrives on process and takes genuine pride in producing accurate work.

To be successful in this role, you'll have:

- A positive, professional and customer-focused attitude.
- Previous experience in commercial administration, customer service, office administration, quotations or a similar administration role.
- Exceptional organisational skills with the ability to manage multiple priorities while maintaining a high level of accuracy.
- Outstanding attention to detail and genuine pride in getting the small things right.
- Exceptional written and spoken English, with the ability to communicate confidently and professionally with Australian customers, suppliers and colleagues.
- Excellent grammar, spelling and written communication skills.
- Solid relationship-building skills and a professional telephone manner.
- Confidence communicating with customers and suppliers by telephone, with the judgement to know when a phone call is more effective than an email.
- Strong computer skills, including Microsoft 365 and experience using CRM, PSA or ERP systems.
- Confidence preparing quotations, processing orders and maintaining accurate documentation.
- The ability to learn new technology and business systems quickly.
- A proactive mindset with the confidence to take ownership and follow tasks through to completion.




- A mature attitude, strong work ethic and the ability to work independently within a small team.
- A current Australian Driver Licence.

The following experience will be highly regarded, but is not essential:
- ConnectWise PSA or similar business management software.
- IT procurement or technology product sourcing.
- Healthcare, medical, veterinary or diagnostic imaging industries.

Important Information

- This is a full-time, office-based position located in Deer Park, Victoria.
- Due to the hands-on nature of coordinating equipment, freight and logistics, this role is not suitable for remote or work-from-home arrangements.
- Applicants must have unrestricted and ongoing Australian working rights.
- A current Australian Driver Licence is essential.
- Preference may be given to applicants who live within a reasonable commuting distance of our Deer Park office due to the on-site nature of the role.
