The office of Mary Aldred - MP Federal Member for Monash is seeking applications for a full time ongoing Electorate Officer – Executive Assistant, based in the Monash Electorate Office in Warragul Victoria.
Position Overview
This position is primarily responsible for the management and efficient functioning of the electorate office and the Member's diary and associated administrative functions.
The role involves working independently and requires the ability to adapt to a changing workplace.
A high level of attention to detail is a must.
The successful applicant will have excellent organisational and time management skills, with the ability to prioritise and manage multiple and competing work tasks in a fast-paced working environment consistently responding to changing and competing priorities.
The key duties of the position include but are not limited to:
- Managing and overseeing all aspects of the Member's diary.
- Assisting with the coordination of events, including community forums, roundtables and public meetings.
- Attending community events and functions as required.
- Liaising with key stakeholders on behalf of the Member.
- Coordinating the Member's travel and accommodation arrangements.
- Managing the public email inbox, including triaging correspondence and responding to enquiries or actioning items requiring follow-up.
- Ordering office supplies, including printing and stationery.
- Maintaining and managing constituent and office databases.
- Overseeing the day-to-day administrative operations of the electorate office, including incoming phone calls, visitor enquiries and office workflows.
- Supporting the efficient day-to-day functioning of the electorate office through proactive administration and coordination.
- Undertaking other duties as directed to support the effective operation of the electorate office.

- The ability to work independently, demonstrate initiative and perform effectively under pressure with limited supervision.
- Well-developed computer skills, including proficiency in the Microsoft Office suite and experience using databases and other office applications.
- Experience as an Executive Assistant, Diary Manager or in a similar administrative role supporting senior executives or elected representatives in a dynamic environment is highly desirable.
- Demonstrated experience or qualifications in administration will be highly regarded.
- A high level of discretion, professionalism and sound judgement when dealing with confidential and sensitive information.
Employment conditions: The position is offered under the Members of Parliament (Staff)
Act 1984 and conditions are outlined in the Commonwealth Members of Parliament Staff Enterprise Agreement 2024-27 which include:
- A commencing salary of between $79,525 and $92,846 will be negotiated depending on experience and relevant skills, plus an additional optional allowance may be considered in recognition of, and as compensation for, reasonable additional hours of work and any travel requirements.
- Relocation assistance, studies assistance and paid study leave may also be available (subject to eligibility requirements).
- An employer superannuation contribution of 15.4% will be payable.

- The successful applicant may be required to undergo a National Police History Check.
- Staff may be subject to automatic cessation triggers in accordance with Section 14 of the MOP(S) Act.
- The successful applicant will be required to comply with their obligations under the Behaviour Codes and Standards.
- For staff employed by a Minister or Parliamentary Secretary either in a personal or electorate staff position, it is a condition of your employment that you obtain and maintain a Negative Vetting 2 security clearance and comply with the Ministerial Staff Code of Conduct.
