Spectrum Therapy Australia is a well established multidisciplinary private practice located in Baulkham Hills. We provide psychology, speech pathology, occupational therapy, exercise physiology, and therapy assistant services to children, adolescents, adults, and their families across a wide range of presenting needs.

We are seeking a warm, caring, and highly organised Experienced Allied Health Receptionist to join our administrative team and help us deliver an exceptional experience for every family who contacts Spectrum Therapy Australia. As the face and voice of our practice, you will work closely with clinicians, management, current clients, and prospective families, assisting with enquiries, bookings, payments, invoicing, and day to day administrative support.

This role is ideal for someone with previous reception or administrative experience, within an allied health or healthcare setting. The successful applicant will be adaptable, proactive, confident communicating with a wide range of people, and committed to delivering compassionate and professional customer service. A strong client centred approach and the ability to work both independently and collaboratively are essential.

This is a busy and varied role where no two days are the same. The successful applicant will feel energised by a fast paced environment, be comfortable managing competing priorities, and be able to stay organised and composed while supporting families, clinicians, and the wider practice throughout the day.

Duties and Responsibilities

- Conducting thorough intake conversations and matching new clients with suitable clinicians
- Managing client bookings, records, and documentation within a cloud based practice management system
- Welcoming families and visitors to the clinic
- Answering phone calls and responding to enquiries in a warm and professional manner
- Processing payments, invoices, and Medicare transactions
- Supporting the Practice Manager with operational documents, templates, policies, and procedures
- Maintaining a clean, organised, and welcoming clinic environment

Essential Criteria

- Availability for a minimum of three days per week across Monday to Friday
- Demonstrated ability to learn new systems quickly
- Warm, approachable, and professional manner with clients and colleagues
- Experience working with people with disability
- Ability to take initiative and work independently while contributing positively to a team




- High level organisational and administrative skills
- Excellent attention to detail and accuracy
- Thrives in a fast paced environment and can manage multiple competing priorities while maintaining a calm and caring approach
- Reliable, committed, and professional work ethic
- Excellent written and verbal communication skills
- Desire to build a long term career in allied health administration
- Confidence using practice management and workflow systems such as Zanda and Trello; experience using ChatGPT or similar AI tools is highly regarded
- Previous experience in an allied health, medical, psychology, or multidisciplinary clinic will be highly regarded
