We are one of the largest psychology centres in Brisbane and we aim to provide comprehensive admin services to mental health professionals. We are keen to recruit into several different roles depending on the experience or skills of the applicant.
Qualifications & Experience - Range of Skills
- High level of skill in being able to pay attention to detail with appointment management, invoicing and collection of fees
- Experience in customer service 3 years. Know how to put clients at ease while staying in your lane as a admin team member i.e. not too chatty or intrusive with small talk.
- Knowledge of Halaxy or medical client management systems highly regarded
- Expertise in technology and cyber awareness
- Multi-tasking is an important part of the role, you must be able to manage multiple clients, phones, staff approaching you simultaneously
- Being able to work in a team. One business and two locations. Sharing the workload and building your role in our team is important.
- Current or previous employment in other Allied Health reception roles beneficial. Confidentiality and boundaries are super important.
- Ability to receive constructive feedback from colleagues on your progress and integrate the knowledge and lessons into your work so that you progressively and continuously improve and master the many elements of the role.
Tasks & Responsibilities
- Front Desk Reception involves managing clients appointments, questions about payment and invoicing.
- Call Centre involves assisting with new client calls and helping place clients with the right psychologist
- Sales and Customer Experience Expertise is important i.e. not intimidated by the phone
- Basic Bookkeeping knowledge or capacity to learn is helpful as some of our team assist with bookkeeping and invoicing. We use Xero.
- Flexibility to work in the days needed as that changes from semester to semester with Uni timetables
- Reliability is very key as we are a small team
- Maintenance and tidying of office as needed
- Must have the ability to work at both Shailer Park and Wishart Clinics
- Car and current license is essential
- Blue Card essential (or ability and willingness to obtain one prior to commencement). No Blue Card, no start.

We require you to have a car and license and be able to travel to Shailer Park and Wishart. We require that you are available if rostered to open, at 7:30 am starts Monday - Friday. If Rostered to close you will need to be available up til 8pm if needed. Occasional Saturday work may also be required.
For clarity shift duration usually ranges from 4-6 hours although due to unplanned events shifts may be extended for operations reasons up to 9 hours. Each week day typically comprises of 3 shifts: opening, middle, and closing.
The position is casual as our hours change every semester based on our current staff's university lecture timetable.
