The Role:
The Procurement Officer is responsible for managing the procurement and commercial support functions of Britetech. This role oversees the sourcing and purchasing of equipment, materials and services, prepares accurate customer quotations, supports sales and project delivery, and maintains strong supplier and customer relationships.
Working closely with Engineering, Operations, Projects, Warehouse and Sales, the Procurement Officer ensures materials and services are procured efficiently, customer quotations are commercially accurate and delivered on time, supplier performance meets business expectations, and procurement activities support the successful delivery of projects.
The role also assists in maintaining appropriate inventory levels, onboarding new suppliers and customers, maintaining procurement records, and identifying opportunities to improve commercial performance, reduce costs and enhance customer satisfaction. Experience with MYOB or Acumatica (or similar ERP/CRM platforms) is highly desirable.
Key Responsibilities:
- Procurement and Sourcing
- Source equipment, materials and subcontracted services required for operational and project requirements.
- Identify,
evaluate and establish relationships with new suppliers to improve quality, pricing, lead times and supply chain resilience.
- Obtain competitive supplier quotations and negotiate pricing, commercial terms and delivery schedules.
- Maintain preferred supplier agreements and pricing schedules.
- Monitor supplier lead times and proactively identify supply chain risks.
- Source alternative suppliers where required to minimise project delays.
- Identify opportunities to reduce procurement costs while maintaining quality and compliance.
- Ensure procurement activities comply with company policies and delegated purchasing authorities.
- Customer Quotations and Commercial Support
- Prepare accurate and commercially competitive customer quotations in accordance with company standards.
- Develop and validate Bills of Materials (BOMs) using engineering drawings, technical documentation and scopes of work.
- Obtain supplier pricing, freight costs and lead times to ensure quotations are complete and commercially accurate.
- Verify all pricing, quantities, labour allowances and supplier costs before quotation submission.
- Ensure customer quotations are completed accurately and delivered within agreed timeframes.
- Maintain quotation registers and supporting commercial documentation.
- Work closely with Engineering, Sales and Operations to clarify technical and commercial requirements.
- Assist with tender submissions and major project pricing exercises.
- Review supplier pricing changes and update standard pricing schedules where required.
- Assist in analysing project costs and margins to support commercial performance.
- Sales Support
- Provide procurement and commercial support to the Sales Team.
- Respond to customer enquiries relating to pricing, product availability, lead times and procurement matters.
- Assist in preparing technical proposals and supporting documentation.
- Monitor quotation validity periods and follow up outstanding quotations where required.
- Convert accepted quotations into purchase orders and procurement activities.
- Identify opportunities for alternative products or value engineering solutions to improve competitiveness.
- Maintain qualified relationships with customers through timely communication and exceptional service.
- Purchasing and Order Management
- Prepare and issue purchase orders in accordance with approved quotations and project requirements.
- Track supplier orders and expedite deliveries to meet project schedules.
- Coordinate deliveries with Warehouse, Projects and Operations teams.
- Resolve supplier issues relating to pricing, delivery, damaged goods or incorrect shipments.
- Verify supplier invoices against purchase orders and delivery documentation.
- Maintain accurate procurement records including purchase orders, supplier quotations and contracts.
- Ensure all procurement documentation is complete and auditable.
- Supplier Management
- Develop and maintain strong professional relationships with suppliers.
- Conduct supplier evaluations based on quality, delivery performance, responsiveness and commercial value.
- Manage supplier onboarding and qualification processes.
- Ensure supplier certifications, insurance documentation and compliance records remain current.
- Resolve supplier performance issues promptly and professionally.
- Conduct regular supplier performance reviews and identify opportunities for continuous improvement.
- Customer and Supplier Onboarding
- Coordinate the onboarding of new suppliers in accordance with Britetech's procurement and compliance requirements.
- Maintain supplier records within company systems.
- Assist with onboarding new customers, including completion of customer vendor registration forms,
procurement portals and compliance documentation.
- Coordinate customer prequalification requirements including licences, insurance certificates, ISO certifications and statutory documentation.
- Maintain customer and supplier databases ensuring information remains accurate and up to date.
- Support ongoing customer and supplier compliance requirements.
- Inventory Planning Support
- Assist in maintaining appropriate inventory levels to support operational and project requirements.
- Monitor stock levels and coordinate replenishment with the Warehouse and Operations teams.
- Review inventory usage trends and supplier lead times to minimise stock shortages while avoiding unnecessary overstocking.
- Assist in forecasting procurement requirements based on project schedules and historical demand.
- Coordinate procurement of long lead-time equipment and critical spare parts.
- Support stocktakes where procurement assistance is required.
- Project Procurement Support
- Work closely with Project Managers and Engineers to ensure procurement activities align with project schedules.
- Monitor procurement progress against project milestones.
- Provide procurement status updates to project teams.
- Identify procurement risks that may impact project delivery.
- Assist in sourcing alternative products to minimise project delays.
- Ensure project materials are available prior to mobilisation.
- Budgeting and Commercial Reporting
- Assist with procurement budgeting and cost forecasting.
- Monitor purchasing activities against approved project budgets.
- Maintain supplier pricing databases and procurement records.
- Prepare procurement and quotation reports for management.
- Identify opportunities for procurement savings and commercial improvements.
- Maintain records of supplier performance, procurement metrics and quotation performance.
- Support continuous improvement initiatives across procurement and commercial operations.
- Quality, Safety, Environmental and Information Security Responsibilities
- Perform all duties in accordance with Britetech's Integrated Management System incorporating ISO 9001, ISO 14001, ISO 45001 and ISO 27001.
- Ensure suppliers comply with Britetech's quality, safety, environmental and information security requirements.
- Promote sustainable procurement practices where practical.
- Secure procurement, quotation and commercial documentation.
- Report procurement risks, supplier non-conformances and commercial issues.
- Use the company-approved password manager to securely manage work-related credentials.
- Comply with all cybersecurity policies, procedures and information security requirements.
- Information Security Training Requirements
- Complete mandatory information security awareness training.
- Complete training in the use of the company-approved password manager.
- Participate in ongoing cybersecurity and compliance awareness activities as required.

- Demonstrated experience in procurement, purchasing, or finance administration.
- A minimum of 3-5 years of experience in procurement, purchasing, or finance administration is required.
- Hands-on experience with client quotes, sales orders, purchase orders, invoicing, accounts receivable, and accounts payable.
- Experience with MYOB or Acumatica preferred; other ERP/CRM systems also valued.
- Strong communication and stakeholder management skills.
- Excellent attention to detail, accuracy, and organisational capability.
- Ability to work to deadlines in a fast-moving environment.
- Proficient in Microsoft Office, particularly Excel.
- Australian work rights are required for this position.
- High school education level is the minimum requirement for this role.
