Note: This role offers flexibility; work can be spread across the week and completed at your own time, with expectations to attend meetings and lead the team as required.
CLCN is seeking two Volunteer Operations Assistants to support the Workplace Communication Club (WCC).
The Operations Assistant (Event Assistance) plays a key role in delivering an exceptional member experience by supporting the planning, coordination, and delivery of WCC activities. This role focuses on creating welcoming, engaging, and well‑organised experiences for members, guests, and participants while ensuring the smooth operation of events and club activities. The role also supports membership engagement and administration, including welcoming new members, maintaining membership records, assisting with onboarding, encouraging ongoing participation, and helping foster a vibrant, connected, and inclusive club community.
The Operations Assistant (Project Management) plays a key role in strengthening WCC’s operational effectiveness by supporting the WCC Operational President in coordinating projects, improving operational systems, and driving continuous improvement initiatives. This role focuses on developing and maintaining documentation, streamlining workflows, coordinating project activities, tracking progress, and implementing structured processes that improve collaboration, accountability, and efficiency. The role also contributes to strategic planning, project reporting, and operational governance, ensuring initiatives are delivered effectively while enhancing the overall experience for members, volunteers, and stakeholders.
This opportunity allows volunteers to gain practical experience in operations, project management, stakeholder engagement, and membership experience while contributing to meaningful initiatives that support employability, social cohesion, and multicultural communities across South Australia.
Key Responsibilities
As an Operations Assistant (Event Assistance), you will:
- Deliver a positive and engaging membership experience by creating welcoming, inclusive, and well‑organised activities for members and guests.
- Support member engagement throughout the event journey, including registrations, check‑ins, attendee communication, and follow‑up activities.
- Assist in planning, organising, and delivering events and initiatives that encourage member participation and retention.
- Coordinate event logistics, including venue setup, equipment, materials, catering, and operational requirements.
- Support relationship management by assisting with communication between members, speakers, volunteers, partners, and stakeholders.
- Maintain accurate membership, attendance, and event records while preparing post‑event reports and insights.
- Assist with on‑the‑day photography and videography (where required).
- Identify opportunities to improve member satisfaction, event operations, and overall service delivery.
As an Operations Assistant (Project Management), you will:
- Support the WCC Operational President in coordinating operational projects and timelines.
- Develop and maintain standard operating procedures and documentation for WCC operations.
- Document workflows, processes, and operational activities to improve consistency and knowledge sharing.
- Assist in creating and maintaining project management tools, trackers, templates, and reports.
- Monitor project progress and follow up with team members to ensure deliverables are completed.
- Analyse operational processes and identify opportunities to improve efficiency and enhance the volunteer and membership experience with the help of the Operations Assistant.
- Support initiatives that strengthen member engagement through improved operational systems and project coordination.
- Ensure projects align with WCC objectives, organisational priorities, and operational requirements.
