Description

Oxford Economics Australia is a leading research and consultancy firm with a strong reputation for delivering cutting‑edge economic insights and consultancy services. As one of the fastest‑growing organizations in its sector, achieving over 20% annual growth for the past decade, we are now looking to hire an Accounts and Office Assistant on a part‑time basis (3 days per week).

This position will perform a variety of finance and office management tasks to support the growing Sydney office and the expansion of the business. The person will require excellent communication skills and be well organised carrying out all tasks in a professional and efficient manner.

This role is an integral part of Oxford Economics’ growth plans for Australia and New Zealand and is an exciting opportunity to join a fast‑growing company at the forefront of the industry. This is an excellent prospect for growth and relevant training courses would be provided for this role as required.

Key Responsibilities

Finance and Accounting – This will form the majority of the role

- Timely entry and coding of purchase invoices in the financial system, ensuring that all the approvals are in place
- Be the first point of contact for PO review and approval
- Review employee expenses to ensure that all the purchase receipts are provided and claims are in line with the approved PO amounts
- Credit card reconciliation, coding and entry in the financial system




- Prepare weekly supplier and expenses payment runs and reconciliation in the financial system
- Fixed assets register management – capitalization, depreciation and disposal of the fixed assets
- Ensure that staff completes their timesheets on a weekly basis
- Preparation of weekly utilization report
- Timely issue of all client invoices and record them in the accounting system.
- Follow up on the outstanding debt on a regular basis.
- Allocation of the cash receipts in the accounting system and bank reconciliations.
- Work with the Business Development team to coordinate subscription renewal invoices, renewals on hold and cancellations.
- Assist with reviewing data for accuracy in the CRM System ‘Salesforce’ and cross‑checking sales contracts to ensure they are issued by the correct legal entity. Ensure all sales are recorded on time in the CRM and accounting system ‘SAP’.
- Managing the accounts mailbox.
- Any other ad hoc tasks and reporting required by the Head of Finance.
- This is not an exhaustive list; this role must be prepared to work as part of a team and assist or carry out other duties as requested during periods of high workloads, sickness, holidays and emergencies.

Office Management – This will be more ad hoc

- Liaise with Building Management in relation to new security cards and other office matters.



Stock management including ordering supplies for the office.
- Assisting with day‑to‑day tasks including answering and directing phone calls to relevant staff. Directing mail and deliveries.
- Point of contact for any special travel or accommodation needs are coordinated as required.

Skills, Knowledge & Expertise

Required

- A desire to meet and achieve goals
- Attention to detail and good numeracy skills
- Must be highly organised and able to manage multiple tasks at once
- Systems savvy – able to learn new systems quickly
- Must have knowledge of Excel, Microsoft Word and PowerPoint
- Must be a team player

Desired

- Relevant work and/or internship experience within finance team
- Excellent communication, interpersonal and presentation skills
- Ability to establish credibility and build relationships with senior level professionals
- Effective problem solving, time management and organisation skills
- Ability to work well under pressure
- Working knowledge of Accounting or CRM system
- A Bachelor’s degree
