Join St John of God Midland Private Hospital as a Theatre Bookings Officer. In this permanent part-time role, you will be responsible for the day-to-day coordination and administration of theatre bookings and associated activities, ensuring efficient scheduling and smooth operational processes across the Theatre Services department.

About the new Midland Private Hospital

- A brand-current purpose-built state-of-the-art facility, currently under construction, located just 300 metres from the St John of God Midland Public and Private Hospitals Campus.

- A comprehensive range of medical and surgical services, with interventional cardiology being offered for the first time in the region
- The hospital will feature:
- 96 overnight inpatient beds, including a six-bed critical care/high dependency unit.

- 33-bed/chair short stay and day procedure unit
- Eight operating theatres.
- A cardiac/vascular catheter laboratory

The Position

- Responsible for clerical duties associated with Theatres.

- Coordinates all sessions, including ad hoc bookings and related activities, ensuring only accredited doctors are accommodated.
- Liaises with Shift coordinators, appropriate wards, departments and support services as required, arranges bookings and responds to enquiries.
- Assists Admissions department with correct information for incoming patients.

- Ensures Manual Bookings Register is kept up to date.
- Actively follow up outstanding paperwork (consents etc) for future admissions.
- Provide feedback on issues and matters as required





- Ensures doctors and relevant caregivers are notified of unforeseen complications relating to sessions and equipment availability.
- Ensures daily Theatre lists and reports are printed and distributed.
- Attends to all queries in a professional, courteous manner.

- Facilitates resolution of issues relating to Theatre bookings and sessions.
- Ensures accurate and timely administration of cancelled sessions for the purpose of optimum utilisation.
- In conjunction with Shift Coordinators and Managers, assists in actively back-filling vacant or cancelled sessions.

- Maintains accurate information relating to doctors’ conferences and school holiday periods that may impact on Theatre activity.
- Maintains and distributes accurate information relating to forecasted Theatre activity.
- Provides accurate reports on late cancellations, including reasons for cancellations and contributing factors.

- Ensures accurate allocation of CMBS numbers to Theatre procedures as required, reviewing actual descriptors for theatre visits.
- Ensures remaining details for patient visits are completed for accurate collection of operating minutes. Liaises with nursing caregivers and doctors’ rooms where necessary, for the completion of visits in WebPAS.

- Liaise with doctors’ rooms for outstanding cmbs codes, reps / supply companies for outstanding proformas, and SBR for reporting.

The successful candidate will possess excellent interpersonal and communication skills, with the ability to build effective relationships and liaise confidently with both clinical and non-clinical caregivers.

They will demonstrate a high level of knowledge and understanding of theatre procedures and associated CMBS coding, coupled with advanced keyboard skills and experience using Theatre Management software.



The role requires exceptional organisational skills, including the ability to prioritise competing demands, manage workloads effectively, and maintain a high level of performance in a fast-paced environment. A strong attention to detail and commitment to quality are essential, with the ability to accurately code procedures and impart technical knowledge to others when required.

- Salary: $77, 239 - $80,741 per annum (pro rata for part time), plus 12% superannuation
