About The Role

This is a fantastic opportunity to join our highly regarded Real Estate & Projects team, who advise on some of Australia's and Asia‑Pacific's largest property transactions and infrastructure projects. As a Legal Assistant you will provide administrative and legal support to the wider group whilst playing a key part in ensuring both group and client processes are followed. We’re looking for someone with existing legal assistant experience within commercial practice (ideally within real estate or infrastructure projects) who is enthusiastic about making a meaningful contribution and joining an energetic team that values initiative and collaboration.

Responsibilities

- Perform administrative services including drafting, editing and proof‑reading letters, agreements and other transactional documents
- Perform property and other searches through third‑party providers (e.g., InfoTrack, GlobalX)
- Format documents in line with the firm style guide, including updating cross‑referencing and converting from other styles
- Prepare and compile large transactional documents into PDF with multiple annexures




- Arrange registration and stamping of physical and electronic documents with local land titles offices
- Open and close files in the practice management system
- Manage client and matter data within the practice management system
- Handle monthly client billing and ad‑hoc client reporting
- Manage ad‑hoc diary entries
- Liaise with clients by phone and email for all administrative related queries
- Liaise with internal business service teams on various matters
- Maintain complete electronic files in the document management system (iManage), including document version control
- Manage incoming and outgoing physical mail through the Digital Mail Room

About You

- Successful applicants will bring administrative support experience gained in a law firm. Real estate, projects, commercial or construction exposure is highly desired.
- A Certificate in Legal Studies is desired but not essential.
- A working knowledge of MS Office Suite is essential, and exposure to practice and document management systems is desired but not essential.
- Excellent verbal and written communication skills, spelling and grammar.
- Proven decision‑making and problem‑solving ability.
- Demonstrated time‑management and organisational skills.
- Ability to influence and manage conflict with a diplomatic and consultative approach.
