Administration Officer (NDIS) – Full-Time

Instant Support is a registered NDIS provider committed to delivering high-quality, person-centred disability support services across Victoria. As our organisation continues to grow, we are looking for an experienced and highly organised Administration Officer to join our Melbourne office.

About the Role
This is a varied and rewarding administration position supporting the day-to-day operations of our NDIS business. You will work closely with management to ensure administrative, HR, payroll, and compliance processes are completed efficiently while maintaining high standards of accuracy and professionalism.
Key Responsibilities
- Provide general administrative support across the organisation.
- Manage staff onboarding and employment documentation.
- Maintain staff and participant records with strict confidentiality.
- Assist with NDIS compliance requirements and audit preparation.
- Prepare reports, spreadsheets, correspondence, and business documents.
- Coordinate staff rosters, meetings, and general office administration.
- Respond professionally to phone calls and email enquiries.
- Support continuous improvement and administrative projects.
About You
To be successful in this role, you will have:
- Previous administration experience, preferably within the NDIS, disability, healthcare, aged care, or community services sector.
- Knowledge of NDIS Practice Standards and compliance requirements.
- Experience using Xero for payroll, invoicing, or bookkeeping.
- Experience with HR administration, including staff onboarding and compliance documentation.
- Strong Microsoft Office skills (Word, Excel, Outlook).
- Excellent organisational skills with strong attention to detail.
- Ability to manage multiple tasks and meet deadlines.
- Excellent written and verbal communication skills.
- A skilled, proactive, and team-focused attitude.
Desirable
- Experience using ShiftCare or similar care management software.
- Understanding of NDIS funding, service agreements, and participant documentation.
- Experience supporting NDIS audits and quality assurance activities.
- Knowledge of HR and employment compliance.
