With Care Pty Ltd (BWC) is a registered NDIS provider committed to delivering high-quality disability and aged care support services across South Australia. We provide person-centred care tailored to participant goals, independence, dignity, and wellbeing. Our services include disability support, community participation, in-home care, personal care, supported accommodation, and aged care services.

Due to continued business growth and increasing operational demands, we are seeking an experienced and highly organised Office Manager to oversee our office administration, operational systems, compliance functions, and staff coordination. About the Role The Office Manager is responsible for organising and controlling the administrative functions and resources of the office, including office systems, administrative staff, operational workflows, compliance systems, and business support functions.

This role plays a critical leadership function in ensuring efficient daily operations, regulatory compliance, workforce coordination, and continuous business improvement. Key Responsibilities Office Operations & Service Planning

- Oversee daily office operations and administration functions to ensure smooth and efficient service delivery.
- Contribute to the planning and review of office services, priorities, and service standards.
- Develop, implement, and improve administrative systems, workflows, and reporting structures.
- Drive accountability, workflow visibility, and operational efficiencies.

Resource Allocation & Staff Coordination





- Allocate human resources, office space, equipment, and operational resources effectively.
- Assign work to administrative staff and monitor work performance.
- Coordinate operational communication between support workers, coordinators, nurses, and management.
- Support workforce planning, scheduling, and resource allocation.

Compliance & Records Management

- Manage company records, participant documentation, and office filing systems.
- Maintain service agreements, incident reports, risk assessments, compliance registers, and internal records.
- Ensure documentation complies with NDIS Practice Standards and Quality & Safeguards requirements.
- Support preparation for audits, regulatory reporting, and compliance reviews.

Financial & Accounts Administration

- Assist with accounts payable and receivable functions.
- Manage invoices, purchase orders, reconciliations, and payment processing.
- Assist with payroll coordination and financial administration.
- Support budgeting and expenditure monitoring.

Operational Liaison & Problem Resolution

- Liaise with healthcare professionals, participants, families, and external stakeholders to coordinate business operations.
- Facilitate prompt resolution of operational, compliance, and administrative issues.
- Support management with business planning and operational improvement initiatives.

Human Resources Coordination

- Coordinate onboarding, recruitment support,



staff induction, and compliance documentation.
- Maintain HR records, staff training registers, and performance documentation.
- Assist with personnel activities including hiring, performance management, payroll coordination, and supervision.

WHS & Legislative Compliance

- Ensure compliance with occupational health and safety regulations.
- Maintain workplace safety records and risk management systems.
- Ensure operations comply with relevant legislation, government regulations, and internal policies.

Essential Skills & Experience

- Diploma, Advanced Diploma, Associate Degree or higher in Business Administration, Management, Office Administration, or related field.

OR

- Minimum three years’ relevant experience in office management or business administration.
- Strong leadership and organisational skills.
- Demonstrated experience managing office systems and administration functions.
- Experience managing records, compliance systems, and operational workflows.
- Strong financial administration and reporting capability.
- Excellent communication, stakeholder management, and problem-solving skills.

Desirable

- Experience in disability services, aged care, healthcare, or community services.
- Knowledge of NDIS compliance and regulatory frameworks.
- Experience in rostering and workforce coordination.
