Umbrella Multicultural Community Care Services Inc. provides services to seniors to assist them to remain living independently in their own homes. Our services focus on meeting the individual needs of culturally and linguistically diverse communities and the LGBTIQA+ community.
An exciting opportunity has become available to join our unique and growing organisation with an immediate start. We are looking for an experienced Administration Coordinator to join our Home Support Services Team based at our Ascot office.
This position is responsible for providing administrative support to the Home Support Services Team. This includes maintaining information and records for Support Workers and Clients, assisting with organising meetings and training for Support Workers, and supporting new business within the organisation.
Salary: SCHADS Level 2 with an hourly rate $36.22 to $39.53 per hour (depending on experience) plus super
Responsibilities include:
- Answer and respond to incoming telephone calls, directing enquiries to the appropriate team members across the organisation.
- Provide a high standard of customer service to clients, visitors, and stakeholders both in person and over the telephone.
- Ensure all visitors to Umbrella are appropriately signed in and comply with organisational visitor requirements.
- Provide administrative support to the Home Support Services team, including maintaining Support Worker records and preparing client files.
- Support the Home Support Services team in promoting and educating clients and stakeholders about Umbrella's services to increase awareness,
encourage participation, retain existing clients, and attract new clients.
- Provide Support Workers with up-to-date forms, personal protective equipment (PPE), and relevant information to enable the delivery of high-quality services.
- Access the My Aged Care (MAC) portal daily to review new client referrals.
- Contact potential clients to discuss their support needs and determine their interest in receiving services from Umbrella.
- Schedule appointments for Home Support Services Assessors to complete client assessments.
- Maintain quality standards and systems and actively participate in Continuous Quality Improvement (CQI) initiatives across the organisation.
- Work collaboratively and effectively as a supportive member of the Home Support Services team.

- Current National Police Clearance
Desirable
- Qualification in Aged Care Services or Community Services or experience in the Aged Care sector and Knowledge of the Aged Care Quality Standards
- Knowledge of diversity, access, and equity issues for CaLD and LGBTI+ seniors
