Dynamic Refrigeration Solutions is a locally owned Darwin business providing refrigeration, air-conditioning, commercial catering equipment, appliance repair and maintenance services across Defence, Government and commercial sites throughout the Northern Territory.
As our service workload continues to grow, we are looking for a Technical Service Coordinator to help support the Service Manager and service team with job scheduling, technician coordination, customer communication, parts follow-up, preventative maintenance and service administration.
This role would suit someone who understands technical service work and wants to move into a coordination role, or someone already coordinating field service teams who has a practical understanding of trades, technicians, parts, job notes and customer expectations.
A trade background in refrigeration, air-conditioning, electrical, commercial appliances or catering equipment would be highly regarded.
About The Role
You will work closely with the Service Manager, technicians, subcontractors, suppliers and customers to help keep service work organised and moving.
The role is a mix of coordination, communication, technical understanding and administration. You do not need to be on the tools, but you do need to understand how service jobs flow, what technicians need before attending site, why job notes matter, and how small follow-up issues can quickly become bigger operational problems.
The right person will be organised, proactive, calm under pressure and confident picking up the phone to technicians, customers, suppliers and subcontractors.
Key Responsibilities
- Create, schedule and maintain service jobs in AroFlo.
- Coordinate technician schedules and help ensure work is planned effectively each day.
- Monitor current and pending jobs, keeping clear notes and follow-up actions updated.
- Support the Service Manager with daily service coordination and workload visibility.
- Communicate with customers regarding service work, timing, updates and follow-up.
- Coordinate subcontractors and ensure required information is in place before work proceeds.
- Assist with parts ordering, ETAs, receipting, warranty returns and supplier follow-up.
- Support preventative maintenance scheduling and annual PM quotation follow-up.
- Review completed jobs before invoicing and follow up missing information where required.
- Assist with service-related invoicing and customer portal requirements.
- Maintain customer, asset, supplier and subcontractor information accurately.
- Support technician licence, induction, travel and training coordination.
- Help maintain Arctick compliance records and service documentation.
- Provide weekly pending job reporting and relevant updates to the Service Manager.
What We Are Looking For
We are looking for someone who can bring structure, follow-through and practical technical understanding to a busy service department.
You may come from a background such as:
- Refrigeration or air-conditioning technician wanting to move off the tools.
- Electrical, appliance repair or catering equipment technician.
- Service coordinator in a trade-based business.
- Maintenance coordinator, facilities coordinator or technical scheduler.
- Parts, warranty or service administration role in a technical environment.
Ideally, you will bring:
- Trade or technical background in refrigeration, HVAC, electrical, appliances, catering equipment or facilities maintenance.
- Understanding of technicians, service calls, planned maintenance, reactive jobs and customer expectations.
- Solid organisation and follow-up habits.
- Confidence communicating with technicians, customers, suppliers and subcontractors.
- Ability to manage competing priorities in a busy service environment.
- Good attention to detail with job notes, documentation, parts and invoicing information.
- Comfortable using job management systems, email, Microsoft Office and phone communication.
- A calm, practical and reliable approach.
- Current Australian driver licence.
Highly Regarded
- Certificate III in Refrigeration and Air Conditioning.
- Current Arctick licence.
- Experience using AroFlo, ServiceM8, Simpro or similar job management systems.
- Experience with Defence, Government or high-compliance customer sites.
- Experience with warranty claims, parts coordination or preventative maintenance scheduling.
- Darwin or Northern Territory service industry experience.

You understand that good service coordination is not just data entry. It is about making sure technicians have the right information, customers are kept informed, parts are followed up, jobs do not sit untouched, and the Service Manager has clear visibility over what is happening.
You are comfortable picking up the phone, asking questions, chasing answers and keeping people accountable in a respectful way.
You do not need to know everything on day one, but you do need to care about accuracy, communication, reliability and helping the team deliver a high standard of service.
