Under limited direction, provide administrative support to a member of the Executive, including secretarial assistance, minute taking, meeting and travel arrangements, undertaking less complex research or project work. Individually or as a member of a team demonstrate a high degree of flexibility, tact and judgement with minimal supervision. As part of the Executive team the person will be required to provide support and to relieve in the position of the CEO’s Executive Assistant.
As an Executive Assistant, you will provide secretarial and administrative support for the Executive. The duties will include the production of high-quality documentation, diary management, managing flow of incoming and outgoing documents, arrange meetings and travel. Undertake less complex research and project work, draft preliminary reports and general correspondence and assist in the preparation of papers. Liaise with the FSANZ Board, Government departments, industry and consumer groups and academic institutions.

The duties of this position include:
• Manage SES staff work schedule and all aspects associated with it, including telephone calls, electronic diary appointments and organisation of meetings and relevant papers.
• Coordinate all correspondence in and out of the SES office and email inbox, including follow up and monitoring.
• Provide administrative support for the Branch.
• Actively manage and promote relationships with internal and external stakeholders.
• Administer travel finances, including reconciliation and maintenance of all travel and credit card accounts and cost centre codes associated with the Branch.
• File records in accordance with approved records management processes and security requirements. Including management and maintenance of document recording systems.
• Undertake procurement activities as required.
We are seeking an individual with the following skills and capabilities:
• Advanced organisational and administration skills.
• intermediate skills using MS Office software (i.e. Microsoft Outlook, Word and Excel) to input, extract and present information.
• Experience using record management systems.
• Effective written and verbal communication skills.
• The ability to work effectively and collaboratively with colleagues in a team environment.
• Demonstrated planning and organisational skills, including ability to meet deadlines with competing priorities and delivering work to a high standard with good attention to detail
• Reliability, integrity, and solid personal drive.

• Previous experience in a similar role
• Be willing to undergo a police check/character check
• Be an Australian citizen
