Job Opportunity: Construction Administrator

Mathos Building Group is a well-established and growing fencing and construction company delivering commercial, civil, residential, rail infrastructure and high-security fencing projects throughout Victoria.

We are seeking an experienced, organised and detail-oriented Construction Administrator to join our team. This is an exciting opportunity to play a key role in coordinating projects and ensuring contracts are administered efficiently from award through to completion.

About the Role

As our Construction Administrator, you will work closely with the Managing Director, clients, principal contractors, suppliers, subcontractors and employees.

You will assist with contract administration, procurement, project documentation, estimating, staff coordination, compliance and financial reporting across multiple projects.

Our work includes:

- Rail infrastructure projects

- Commercial and industrial fencing

- High-security welded-mesh and palisade fencing

- Chainmesh, tubular and boundary fencing

- Pedestrian, sliding and automated gates

- Minor civil works, excavation and concrete footings

Your ability to manage multiple priorities while maintaining accuracy, professionalism and compliance will be essential to your success.

Key Responsibilities

- Prepare, review and administer construction project documentation.

- Coordinate project commencement, variations, extensions of time and contract close-out.

- Assist with estimating and preparing quotations for future projects.

- Follow up quotations, tenders and project opportunities with clients.





- Assist with project coordination, programming and employee scheduling.

- Monitor contract requirements and ensure project records remain complete and up to date.

- Organise site inductions, rail access requirements and employee compliance documentation.

- Maintain safety documentation, Safe Work Method Statements, quality records and project registers.

- Assist with rail-industry documentation, including RIW requirements, access bookings and possession or occupation planning.

- Complete social procurement reporting and maintain supporting records.

- Assist with progress claims, invoices, payment schedules and cost tracking.

- Prepare and submit variations and supporting documentation.

- Coordinate material procurement and communicate with suppliers regarding pricing, availability and delivery.

- Liaise with clients, consultants, principal contractors, subcontractors and suppliers throughout the project lifecycle.

- Maintain project files, correspondence, drawings, purchase orders and subcontractor documentation.

- Support the Managing Director with general business administration and project reporting.

Skills and Experience

The successful applicant will ideally have:





- Previous experience in construction administration, contract administration or project coordination.

- Experience within commercial construction, civil works, fencing or rail infrastructure.

- Strong written and verbal communication skills.

- Excellent organisation and time-management skills.

- Experience preparing progress claims, variations, purchase orders and project documentation.

- A good understanding of construction contracts, project compliance and document control.

- Confidence communicating with clients, suppliers, employees and subcontractors.

- Strong attention to detail and the ability to manage multiple projects.

- Experience with Microsoft Office, Excel, Outlook and construction management systems.

- Familiarity with Aconex, RIW, Bluebeam or similar platforms would be highly regarded.

- Knowledge of SWMS, site inductions, safety documentation and quality records.
