We are seeking a highly motivated professional executive assistant to provide superior executive, secretariat and administrative support to the Second Commissioner, Law Design and Practice.
This full time role may be offered on an ongoing or non-ongoing basis in Sydney CBD and requires regular attendance in the office.
As an Executive Assistant (EA) and Secretariat, you’ll work closely with the Executive Officer and ATO Executive support team. You’ll be a trusted advisor and your ability to build strong relationships, anticipate needs, and create a positive experience in every interaction will be key to your success.
While adaptable work arrangements may be considered, this role is primarily office-based to support the agile and responsive nature of executive operations.
Reporting to the Executive Officer, you will be co-located with the Second Commissioner and undertake a variety of tasks which will include:
management of the administration requirements for your executive including diary, calendar and email management, including guidance on priority meetings, emails and actions
organising travel and accommodation arrangements and the preparation of travel documentation
providing secretariat functions and supporting executive meetings including drafting agendas,
minutes, actions, commissioning of papers
planning, coordinating and monitoring workflows to ensure deadlines are met and services are delivered efficiently
researching and gathering information to support the preparation and drafting of drafting briefs and correspondence, as well as reviewing documents to provide advice to the Second Commissioner
identifying and understanding risks and issues, addressing those within your authority, escalating appropriately and proposing practical solutions
advising on and implementing process improvement and efficiency initiatives
supporting and guiding more junior EAs across the ATO.
A minimum of a baseline security clearance or the ability to obtain a clearance at this level is required.
