As the Intake Officer, you will be the first point of contact for many clients and stakeholders, providing a welcoming and qualified experience while guiding people through the intake and referral process.
You will work closely with operational teams to ensure referrals are processed efficiently, information is captured accurately, and clients are connected to the right support as quickly as possible.
This role also contributes to service quality and business performance through reporting, process improvement initiatives and maintaining the integrity of client information systems.

What you'll be doing:
Manage the intake and referral process, ensuring new client enquiries are responded to efficiently and progressed through the appropriate pathways.
Act as a key point of contact for clients, families, carers and external stakeholders, delivering a high standard of customer service.
Maintain accurate client records and information systems to support quality service delivery and compliance requirements.
Provide information, guidance and referral options to support clients in accessing the most appropriate services for their circumstances.
Monitor referral activity and service demand, identifying trends and opportunities to improve client access and operational performance.
Support organisational reporting and data collection processes, including outcomes measurement and service improvement initiatives.
Work collaboratively with service delivery teams to ensure a seamless transition from intake through to commencement of services.
Assist with reception and administrative functions as required, contributing to an efficient and professional office environment.
Contribute to a culture of continuous improvement by identifying and implementing practical enhancements to systems, processes and client experience.
What we're looking for:
Excellent communication and interpersonal skills, with the ability to build positive relationships with clients, families, colleagues and external stakeholders.
A strong customer service focus and a genuine commitment to delivering a positive client experience.
Experience in an administrative, intake, customer service, community services, healthcare, aged care or disability services environment.
Well-developed organisational skills with the ability to manage competing priorities and maintain attention to detail.
Strong problem-solving and decision-making abilities, with the confidence to exercise initiative and sound judgement.
Demonstrated ability to work collaboratively as part of a team while also managing tasks independently.
Confidence using a range of computer applications, databases and client management systems.
An analytical mindset with the ability to identify trends,
contribute to reporting and support continuous improvement initiatives.
Professional, adaptable and resilient, with the ability to remain calm and effective in a busy environment.
A commitment to person-centered service delivery and supporting positive outcomes for clients and their families.
