Contract Admin – Construction
·Project Oversight
o Able to prioritise and manage CA's across multiple projects.
o Able to liaise with OM, PM, SM, CA, Clients and Trades alike.
o Reading & Understanding relevant Building Industry Contracts and understanding the Legal Responsibilities associated with relevant contracts.
o Able to assist and prioritise CA's with their responsibilities to ensure site is fed and prepared as required.
o Able to allocate CA's to sites based on their experience levels.
o Able to dissect Subcontractor Quotes to determine Apples for Apples comparison for presentation to PM & OM for selection of trades.
o Able to Negotiate with Trades for better prices
·Financial
o Be able to assist and train CA's on use of Project Management Software as required.
o Process Variations for Client as required
o Process Variations for Subcontractors based on client/company costs
o Be computer literate to run company software to manage company costs.
o Processing of subcontractors progress claims for Payment Schedules and subsequent payment by accounts in a timely manner.
·Scheduling
o Understand the project timeline
o Monitor the site & trades against this timeline
o Report deviations on the timeline to Scheduler, SM & PM
o Ensure CA's are providing materials and subcontracts to meet site requirements.
·Document Control
o Ensure CA's are filing of subcontracts and suppliers, along with quotes, contracts & PO's as required
o Tracking of communications for the project
o Tracking of Site Maintenance Records for Handover
o Ensuring DA & BA requirements are met for Handover
o Preparing reports for SM & PM as required for Management / Client review.
o Photo albums maintained
o Conduct site inspections with PM & SM to assist in preparation of Progress Claims and so CA's are kept informed of site progress
·Dispute Management
o Liaise with Legal Teams OM, PM about any potential legal disputes that may arise.
o Along with document control, being able to provide documents as required to assist in and Dispute Management that may arise
§ This may include subbie delay in presenting claims to determine Project Claims.
May affect the claiming process of the subcontractor.
§ Subcontractor payment schedules and review thereof before payment.
§ Discuss with subcontractor why payment schedule differs to that of their claim.
§ Understand why payment may not occur when the subcontractor expects payment.
§ Understanding of the subcontract and the clauses relating to Disputes if further action is required.
§ To prepare these documents and have PM & OM review before actioning to ensure minimal risk to the company.
·Qualifications
o Years of site experience / managing CA's
o Construction Management or better Tertiary education.
o Multi-Discipline project experience favourable.
o Computer Experience – Office / Project Management Software / Drafting / Estimating, etc an advantage.
o Price and Size of previous projects.
o Communication – Verbal & Computer experience in communicating with Trades and Clients alike.

o Used to working In office/s
o Suitable Vehicle and availability to Travel.
o Licences – Drivers, EWP's, Rigging, etc.
o White Card / Blue Card
