For over 10 years we've partnered with architects, developers, builders and engineers to deliver industry-leading sustainability solutions including NatHERS, BASIX, Green Star, Section J, JV3 Modelling, Passive House and Carbon Neutral Design.
As our business continues to grow, we're looking for an exceptionalExecutive Assistantto work alongside our Director and Executive PA to help establish an exciting new division within the business.
This is far more than a traditional administration role.
You'll become a trusted partner to the Director, helping keep projects moving, supporting business development initiatives and contributing to the continued growth of the company.

About the Role
As the Executive Assistant, you'll provide high-level strategic and administrative support in a fast-paced environment where priorities evolve quickly.
You'll anticipate needs before they arise, keep multiple projects moving,
manage competing priorities and ensure the Director is able to focus on growing the business.
Working closely with both the Director and Executive PA, you'll take ownership across three key areas:
Executive Administration
Executive diary and calendar management
Meeting coordination and preparation
Email management and correspondence
Preparing reports, presentations and documentation
Project coordination and follow-up actions
Maintaining confidential records and information
General executive administration and operational support
Business Development Support
Assisting with client communications and relationship management
Supporting proposals, tenders and presentations
CRM management and maintaining client information
Researching opportunities and assisting with strategic initiatives
Coordinating networking events and business development activities
Marketing Support
Assisting with marketing campaigns and content
Coordinating social media and digital communications
Supporting website updates and promotional material
Assisting with branding initiatives and event coordination
Leveraging AI and emerging technologies to improve efficiency and create innovative solutions
About You
You're proactive, highly organised and love bringing order to complexity.
You enjoy working in a fast-paced environment where every day is different and take pride in staying one step ahead.
You'll also bring:
Previous experience as an Executive Assistant, Personal Assistant or similar senior administration role
Outstanding organisational and time management skills
Robust business acumen with sound judgement and the ability to make informed decisions
Excellent written and verbal communication skills
Exceptional attention to detail and accuracy
Advanced Microsoft Office skills including Outlook, Word, Excel and PowerPoint
Demonstrated proficiency using AI and emerging technologies, with the ability to quickly learn new digital platforms
Experience with project management software or CRM systems (desirable)
The ability to manage multiple priorities simultaneously
Absolute discretion when handling confidential information
A positive, solutions-focused attitude with a willingness to help wherever required
The ability to work independently while also contributing to a collaborative team culture
