We are seeking a highly organised and proactive Operations Support Officer to support
our day-to-day operations and contribute to the continued growth and success of our
business.
About the Role
The Operations Support Officer will play a key role in ensuring the smooth coordination of
our logistics, inventory, procurement, and administrative processes.
This role requires someone who is highly organised, detail-oriented, and enjoys working
across multiple areas of a growing business.
You will be responsible for coordinating freight
movements, supporting stock management, maintaining accurate records, assisting with
procurement processes, and implementing systems and processes to improve operational
efficiency.

Key Responsibilities
Logistics
● Plan and coordinate weekly delivery runs.
● Forecast upcoming freight requirements and identify productive collection opportunities
from suppliers.
● Manage driver schedules and communicate weekly delivery requirements.
● Create and distribute delivery manifests.
● Ensure transport requirements are met.
● Contact customers to confirm upcoming deliveries.
● Manage delivery documentation, ensuring manifests and connotes are completed
correctly and returned.
● Follow up outstanding delivery paperwork with drivers.
● Create and maintain Emergency Procedure Transport Guides for relevant Dangerous
Goods products.
Procurement & Imports




● Management of container imports from overseas suppliers.
● Manage supplier relationships, communications and purchasing requirements.
● Forecast purchasing requirements to optimise purchasing schedules and buying
opportunities.
Administration
● Reconcile freight invoices against deliveries and customer orders.
● Manage commission calculations and reporting.
● Prepare customer invoices once deliveries are completed.
● Assist with debt collection and customer account follow-up.
● Develop and maintain spreadsheets, formulas, and processes to improve business
efficiencies.
● Maintain current supplier price lists.
● Keep product pricing up to date in Unleashed.
● Create and send customer sales orders.
● Maintain accurate filing of operational documentation including connotes, picking
slips, packing slips, and delivery manifests.
● Maintain Dangerous Goods information in Unleashed for all relevant products.
● Coordinate product label creation and stock requirements.
● Track income received in advance for accounting purposes.
Inventory Management
● Maintain accurate stock reporting across multiple reporting systems.
● Assist with regular stocktakes.
● Create supplier purchase orders and monitor deliveries against sales requirements.
● Receive and process supplier purchase orders.
● Verify completed orders within Unleashed prior to invoicing.
● Create, process, and complete warehouse stock transfers.
● Support ongoing inventory accuracy and stock control improvements.

● Has strong organisational skills and excellent attention to detail.

Key Requirements
● Availability to work part-time hours across 5 days per week.
● This is a hybrid role, with a combination of office-based and work-from-home
arrangements following training.
● Flexible school-hour arrangements may be available for the right candidate.
● Flexibility to work additional hours during periods of leave or increased workload is
highly desirable.
● Previous experience in operations, logistics, administration, procurement, or
inventory management.
● Strong computer skills with confidence using Microsoft Excel and/or Google Sheets.
● Experience with inventory management systems (Unleashed experience is desirable
but not essential).
● Excellent written and verbal communication skills.
● Strong organisational, problem-solving, and time management skills.
● High level of accuracy and attention to detail.
● Ability to work independently and manage competing priorities.
● Ability to manage confidential business information professionally.
● Experience within the agriculture, transport, or Dangerous Goods industries is
advantageous but not essential.
