The Role
We're looking for an experienced and highly organised Executive Assistant to provide high-level executive, administrative and coordination support to members of our Executive Leadership Team.
This newly created role offers the opportunity to help shape how executive support is delivered across the business, working as part of a collaborative Executive Support Team that supports multiple members of the Executive Leadership Team.
You'll thrive in an environment where priorities can shift, relationships are key and balancing the needs of multiple stakeholders is critical to success.
Operating with a high level of autonomy, confidentiality and professionalism, you'll play an important role in supporting the effectiveness of our Executive Leadership Team and broader organisation.
Key Responsibilities
• Provide proactive and professional support to members of the Executive Leadership Team, helping them manage their day-to-day priorities and responsibilities
• Manage busy and often changing calendars, meetings and commitments,
ensuring priorities are coordinated effectively and deadlines are met
• Coordinate meetings from start to finish, including scheduling, preparing agendas and papers, taking minutes, tracking actions and following up where needed
• Prepare and format a range of documents, including reports, presentations, correspondence and briefing materials, ensuring a high standard of accuracy and professionalism
• Work closely with the Executive Support Team, provide coverage as needed and deliver seamless support across the ELT
• Coordinate travel, accommodation, events and other executive support activities, with a strong focus on organisation and attention to detail
• Maintain accurate records and administrative systems, while supporting governance, policy administration and project-related activities as required
About You
You're a highly organised and proactive Executive Assistant who enjoys supporting senior leaders and working collaboratively within a team environment.
You can confidently manage competing priorities, build strong relationships and adapt to changing business needs while maintaining a high level of professionalism and discretion.
You'll bring:
• Experience supporting senior leaders in a busy and fast-paced workplace
• Strong organisational skills and the ability to manage multiple priorities at once
• Excellent communication skills and confidence preparing professional documents and correspondence
• Sound judgement,
discretion and a high level of professionalism when handling sensitive information
• A collaborative approach and the ability to work effectively as part of a shared Executive Support Team
• Great attention to detail and strong Microsoft Office skills
Desirable:
Experience working in a services‐based or regulated setting
Appointment to this role is subject to the successful completion of a National Police Check on commencement and every three years thereafter, as well as confirmation of Australian work rights.
