We're looking for a process-obsessed Office Manager to run the operational backbone of the business — admin, culture, HR, and marketing/social — and to relentlessly question, tighten, and rebuild how we do things.
This isn't a maintain-the-status-quo role.
You'll assume every existing process is a draft until proven otherwise, and you'll own turning that scrutiny into documented, repeatable systems across the whole business.
About the Role
This is a hands-on, high-impact position for someone who can't leave an inefficient process alone.
You'll oversee administration, client-facing colour selections, HR support, culture, and our marketing/social media presence — and you'll be the one designing, testing, and re-designing the systems that let everyone else focus on their best work.
You report directly to the General Manager and act as a key operational partner across the business.
Key Responsibilities
Process ownership & continuous improvement
Treat every existing process — admin, HR, marketing, client-facing — as something to be understood, questioned, and either validated or rebuilt.
Nothing runs "because that's how it's always been done."
Map, write and maintain clear SOPs, checklists and workflows for every operational area of the business.
Proactively identify inefficiencies and gaps, then design and implement better systems (digital tools, filing structures, approval flows, communication channels).
Run a regular audit cycle: revisit implemented processes to confirm they're actually being followed and still fit for purpose.
Office administration & day-to-day operations
Run day-to-day office operations: reception, mail, couriers, supplies, equipment, and workspace organisation.
Coordinate meetings, travel, events and company activities.
Act as first point of contact for staff on office policies, systems and procedures.
Culture
Own initiatives that shape team culture: recognition, team events,



onboarding experience, internal comms.
Act as a culture custodian — spot when morale, engagement or communication is slipping and act on it, not just report on it.
Help embed company values into everyday operations and decision-making.
Marketing & social media
Manage day-to-day marketing execution: social media content and scheduling, website updates, basic collateral.
Maintain a consistent brand voice and posting cadence across channels.
Coordinate with external marketing/design support where needed and keep marketing activity aligned with business priorities.
Client colour selections
Guide clients through colour and finish selections for their joinery, acting as the main point of contact for this stage of their project.
Maintain up-to-date sample ranges, supplier colour catalogues and selection tools.
Document selection decisions clearly and hand off accurate specs to production.
Identify and fix recurring friction points in the selection process (unclear options, slow turnarounds, miscommunication with production).
People & HR support
Maintain personnel and office records; run onboarding/offboarding administration.
Support recruitment coordination: scheduling, communications, documentation.
Implement and communicate office policies, health & safety procedures and compliance requirements.
Supervise or coordinate junior admin/office support staff where applicable.
What You Bring
Core capabilities

then document and improve it.
Intuitive operator: you anticipate needs, read the room, and act without being asked.
Confident challenger: comfortable pushing back on existing ways of working, including from leadership, when you can see a better way — backed by transparent reasoning.
Strong problem-solver: you find practical solutions quickly and escalate appropriately.
Excellent written communication: you draft clear policies, procedures, emails and social content.
Comfortable in a client-facing role, with the patience and taste to guide people through colour/finish decisions.
Experience & skills
3+ years in an office management, operations, or business administration role (or similar), ideally with exposure to HR, marketing or culture initiatives.
Demonstrated experience writing and implementing SOPs, workflows or process documentation — with examples of processes you've redesigned, not just maintained.
Comfortable managing social media/basic marketing content and scheduling.
High proficiency with office and productivity tools (Microsoft 365, AI tools, CRM/practice management tools).
Strong organisational, time-management and prioritisation skills; comfortable juggling multiple priorities across very different domains.

Location & Hours
Onsite in our Townsville office/showroom (Garbutt).
Full-time, minimum 38 hours per week, Monday–Friday, core hours 8:30am–5:00pm.
