We offer logistical management, specialised to suit each of our Shippers' & agency representation in bulk commodities supply chain solutions.
We are seeking aShipping Documentation Officerto join our small, tight knit team on a full-time basis.
This dynamic & varied role will have you exposed to many parts of the maritime industry & the process required.
This role is responsible for:
Nominating Cargoes to relevant Authorities;
Liaise with Vessels' Agents – Shipment Stem details; Notice of Readiness to load;
Liaise with Shippers' – Vessel Loading Plans, Document Instructions;
Submitting vessel information via the Australian Border Force' Integrated Cargo System (ICS) to obtain an Export Declaration Number (EDN) for each shipment and then finalise same data between Shippers and Australian Bureau of Statistics;
Facilitating on time & accurate documentation that meets our Shippers' requirements
Initiating cargo document creation & submission for draft approval from Shippers'.
Documents include Transportable Moisture Limit, Shippers' Cargo Declaration, e-BOLs/Bills of Lading/Sea Waybills, Cargo Manifest, Statement of Facts, Sailing Advice.
Interpreting Shippers' contract terms & applying to Despatch or Demurrage calculations
Finalising cargo documents in readiness for Agent/Master/Shipper signatures.
You will be required to attend local Agent offices to complete document signups
Maintaining reliable & consistent communication with Management, Office Team & external service providers
General reception & clerical duties including, but not limited to, answering telephone calls, booking courier consignments & filing documents
About you:
The ideal candidate for this role will be detail oriented, highly organised, proactive & looking for a challenge.
Essential – Have a current Australian driver's license
Essential – Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
Essential – Competent typing skills with a high level of accuracy
Have meticulous attention to detail in documentation presentation & accuracy in all transactional processing & documentation
Great written and verbal communication skills
Can work in a rapid-paced environment, independently & under pressure
Other requirements (desirable but not essential):
Previous ship agency or logistics experience
Hold current Maritime Security Identification Card (MSIC) OR be eligible to apply
Hold current Gladstone Ports Corporation Ltd Port User card OR be eligible to apply
Police check may be required
