Job Description
We are an independently owned hospitality group operating iconic venues across the Fremantle area, including the Federal Boutique Hotel, South Beach Hotel, 8 Knots and Bicton Taverns.
We are seeking an organised, enthusiastic and customer focused Functions & Bookings Co-Ordinator to join our growing team based at the Federal Hotel.
This is a great chance for someone who enjoys hospitality, events, customer service and administration, and who thrives in a dynamic environment.
Working closely with the Operations Manager, Venue Managers, Head Chefs and our marketing team, you will co-ordinate functions and venue bookings across the group, ensuring every customer experience is professionally managed from enquiry through to event delivery.
About the Role
Your responsibilities will include:
Managing function and booking enquiries via phone and email
Coordinating events from enquiry through to confirmation and delivery
Conducting venue tours and client meetings
Preparing function packages, running sheets and invoices
Liaising with clients regarding menus, budgets and event requirements




Working closely with venue operations teams to ensure smooth event execution
Promoting functions and events through social media and marketing initiatives
Maintaining booking systems including Function Tracker, Nowbookit and calendars
Converting enquiries into confirmed bookings through exceptional customer service
Assisting with the continuous growth of functions and events across the group
About the Candidate
The successful applicant will possess:
Previous experience in hospitality, functions, events or bookings coordination
Strong administration and organisational skills
Excellent communication and interpersonal skills
A high level of professionalism and attention to detail
The ability to multitask and work calmly under pressure
Strong computer skills including Microsoft Office
A proactive and positive attitude
RSA Certificate
Current driver's licence
Desirable
Approved Manager's Card
First Aid Certificate
Experience with hospitality booking systems
