About us:
Happy Haven OSHC is a South Australian-owned and operated company managing over 30 OSHC services across the state.
We are an Approved Provider with an expert team capable of running outstanding OSHC programs on school sites.
The Operations Support Administrator plays a pivotal role in streamlining operations and providing comprehensive support to both staff and families within Happy Haven OSHC.
This role will be focusing on roster management, family enrolment enquiries, and administrative tasks to ensure efficient processes and exceptional service delivery.
About the role:
Rostering Oversight & Workforce Planning
Lead the development, maintenance, and governance of roster processing and publishing for all services.
Oversee and ensure roster completion compliance and accuracy.
Analyse workforce planning data and provide reporting insights to Leadership.
Oversee leave planning and capacity management processes.
Act as the first escalation point for roster-related issues from Assistants and operational staff.
NQAITS Compliance and Process Management
Manage the submission of incident reports through the NQAITS Portal, ensuring all required documentation is gathered and stakeholders are informed.
Coordinate and review email responses to Education Standards Board (ESB) requests related to NQAITS submissions.
Manage incoming correspondence related to NQAITS submissions in collaboration with Leadership.
Produce and distribute weekly incident reporting.
Oversee service management applications and notifications, including processing waivers, updating licensed spaces, and closing sessions, ensuring all actions have the relevant approvals.




Reporting & Projects
Prepare regular and ad hoc reports for Leadership relating to rostering, compliance, workforce metrics and system utilisation, including Governing Council and Department for Education reporting requirements, and internal project status reports.
Lead and contribute to projects relating to workforce planning, system improvements, and operational efficiency.
Identify process improvement opportunities and implement solutions.
Process Governance & Documentation
Develop software user guides, procedures and administrative protocols in line with business requirements.
Contribute to the development and review of Procedures and Standard Operating Procedures relating to position functions.
Propose and implement solutions to workplace or process matters as required.
Operational Leadership
Assist the Operations Support Manager in responding to and acting on complex issues affecting service delivery.
Provide guidance and support to Operations Support Assistants.
Support and liaise with senior stakeholders when required or directed by COO and/or CEO.
Other higher-duty responsibilities as required by Executive Leadership Team.
Requirements:




Sound knowledge of relevant state and federal government legal compliance requirements relating to the Children's Services Award ****.
Sound knowledge of OSHC National Quality Framework with particular emphasis on Areas Five and Seven.
Experience in effective creation and maintenance of rosters.
Computer literacy with digital systems/tools, Microsoft Word, Excel and Outlook.
Effective verbal and written communication skills.
Ability to meet deadlines and manage time effectively.
Ability to work both independently and collaboratively in a team setting
Diligent attention to detail.
Effective reporting skills.
Excellent phone manner.
Qualification in Business Administration or other related field (desirable)
Hold or willing to obtain a valid Police Check (required)
Hold or willing to obtain a valid Working with Children Check (required)
Hold or be willing to obtain Responding to Risks of Harm, Abuse and Neglect (RHHAN-EC) certificate (required)
Hold or be willing to obtain National Child Safety Training certificate (required)
