WHS & Document Control Coordinator
Fixed-Term Contract | 6–12 Months | Flexible Part-Time or Full-Time Hours
About Us
Based in Vineyard, NSW, Arch System Fabrication specialises in commercial aluminium windows and doors, partnering with major contractors across the construction industry.
We design, manufacture and install high-quality glazing and aluminium systems for schools, commercial buildings, aquatic centres and other large-scale projects throughout New South Wales.
We are looking for an organised and motivatedWHS & Document Control Coordinatorto join our team on a fixed-term basis and assist with reviewing, organising and improving our Work Health and Safety documentation and compliance systems.
This is an excellent prospect for someone looking to gain practical experience in WHS, compliance and document control within the commercial construction and manufacturing industries.
About the Role
This is an office-based, fixed-term position for approximately6 to 12 months, with flexible working arrangements.
We are open to both part-time and full-time applicants, making this an ideal opportunity for someone seeking flexibility while gaining valuable industry experience.
The successful candidate will play an important role in reviewing, organising and maintaining our existing WHS documentation and compliance records.
This position is focused primarily on administration and document control rather than operational safety management.
Working closely with our Directors and Management Team, you will help ensure our WHS Management System remains accurate, organised and up to date.
You will not be expected to act as the company's WHS Advisor or conduct site safety inspections.
The focus of the role is supporting the business through effective document management, compliance administration and continuous improvement.




Key Responsibilities
Review, organise and maintain existing WHS documentation.
Update policies, procedures, forms and Safe Work Method Statements.
Maintain training, competency, licence and certification registers.
Ensure document version control and filing systems remain accurate and up to date.
Assist with builder prequalification submissions and compliance documentation.
Maintain subcontractor compliance records.
Maintain incident, corrective action and inspection registers.
Organise equipment inspection, maintenance and servicing records.
Assist with toolbox talk records and training documentation.
Support the ongoing improvement of the company's WHS Management System.
Identify opportunities to improve document structure, consistency and compliance processes.
Provide general administrative support relating to WHS and compliance.
About You
We are looking for someone who enjoys working with systems, documentation and administration.
You do not need to be an experienced WHS professional.
If you have an interest in workplace safety, compliance or quality systems and enjoy creating structure, improving processes and working with documentation, we would like to hear from you.
Essential Requirements
Excellent organisational and time-management skills.
High level of attention to detail.
Strong written and verbal communication skills.
Proficiency in Microsoft Word, Excel, Outlook and Microsoft Teams.




Strong administration and document-management skills.
Ability to prioritise work and meet deadlines.
Ability to work independently and as part of a team.
Positive attitude and willingness to learn.
Highly Regarded
Certificate IV in Work Health and Safety, either completed or currently being studied.
Experience in administration, document control or compliance.
Experience within the construction, manufacturing or engineering industries.
Knowledge of WHS documentation and compliance systems.
