Hunter Multicultural Communities is a not-for-profit organisation supporting established, new, and emerging multicultural communities across the Hunter Region.
We provide aged care, meals, transport, social support, and community-based services that promote dignity, independence, and social connection.
We are seeking a highly organised and practical Rostering, Transport, and Meals Coordinator to support the daily operation of our aged care and community services.
This is a hands-on coordination role responsible for making sure rosters, transport schedules, meal delivery runs, vehicles, and service records are accurate, safe, and well managed.
The role is primarily operational and systems-focused.
It does not include case management, staff management, or budget ownership.
About the roleReporting to the Aged Care Services Manager, you will coordinate staff and volunteer rosters, support meal service operations, schedule transport and delivery runs, monitor fleet readiness, and respond to service changes as they arise.
You will be a central point of coordination between clients, staff, volunteers, kitchen staff, drivers, and management.
The role requires strong communication, good judgement, and the ability to manage competing priorities in a busy community service environment.
Key responsibilitiesIn this role, you will:Communicate with clients, carers, staff, and volunteers about service changes and urgent adjustmentsCoordinate staff and volunteer rosters across aged care, meals, and transport servicesSchedule meal delivery runs, transport routes, vehicles, drivers, and daily service activityWork with the kitchen team to support meal production schedules, packing, labelling, and delivery coordinationMonitor HMC vehicle readiness, servicing, registration, maintenance, cleanliness, and safety requirementsSupport accurate records across rostering, meals, transport, incidents, service changes,
and reporting systemsParticipate in the emergency/on-call phone roster on a rotating basisContribute to a respectful, inclusive, and culturally responsive workplace
About youYou will suit this role if you are organised, calm under pressure, and comfortable coordinating multiple moving parts at once.
The successful applicant will have:A Certificate III or IV in Aged Care, Individual Support, Community Services, or equivalent experience, or progress towards completionExperience in rostering, scheduling, logistics, transport coordination, aged care, community services, or a similar operational roleStrong communication skills and the ability to work respectfully with older people, staff, volunteers, carers, and multicultural communitiesGood organisational and time-management skillsConfidence using rostering, scheduling, transport, reporting, or client management systemsAn understanding of confidentiality, client dignity, and culturally responsive service deliveryA cooperative approach and the ability to work well in a multidisciplinary teamExperience with CHSP, aged care, meal delivery, community transport, SCHADS, Polixen (or equivalent software), or multicultural service delivery will be highly regarded.
Mandatory requirementsThe successful applicant must hold, or be willing to obtain and maintain:Current National Police CheckWorking With Children CheckNDIS Worker Screening Check, where requiredCurrent First Aid Certificate, or willingness to obtainCurrent Driver's LicenceAny aged care-related mandatory competencies required for the role
Employment conditionsThis is a full-time position at 76 hours per fortnight, classified at SCHADS Level 4.1, plus superannuation and salary packaging.
