Full-Time | 12-Month Maternity Leave Contract
An exciting opportunity exists for an experienced, highly capable Medical Secretary / Personal Assistant to join the team at Coastal Plastic Surgery Centre in Mornington on a full-time, 12-month maternity leave contract.
This role serves as the primary point of contact between patients and the surgeon and is integral to delivering an exceptional patient experience.
The successful applicant will join a professional and supportive team dedicated to excellence in patient care.
We are seeking an individual who thrives in a busy surgical practice, works well collaboratively, demonstrates outstanding organisational skills, and can manage multiple priorities with professionalism and efficiency.
Previous experience in a surgical office environment is highly desirable.
Key Duties and Responsibilities
Providing secretarial and personal assistant support to the surgeon
Welcoming patients and managing reception duties
Scheduling consultations, procedures, and surgeries
Coordinating all aspects of surgery, including:
Hospital admissions
Anaesthetic bookings
Prostheses
Radiology appointments
Assistant surgeon arrangements
Post-operative follow-up appointments
Liaising with patients, hospital staff, anaesthetists, and referring practitioners
Processing patient invoicing and receipting, including:
Medicare
DVA
TAC
WorkCover
Private Health Funds
Working within the administrative team to ensure the smooth and efficient operation of the practice at all times
To Be Successful in This Role, You Will Have
Proven experience in a surgical practice or similar medical administration role
Excellent communication, interpersonal, and typing skills
Sound knowledge of private health fund contracts and medical billing processes
Solid problem-solving skills and exceptional attention to detail
Excellent organisational and time management abilities
The ability to multitask, prioritise effectively, and adapt to changing demands
A proactive attitude and willingness to take on challenges
A professional, warm, and articulate manner
Proficiency in Microsoft Office applications
Experience using Xestro medical software (preferred)
