About the Role
Our Practice Manager has successfully overseen both the clinical and operational functions of the practice for many years.
As we've continued to grow, we've recognised the need for a dedicated Operations and Systems Coordinator to take ownership of our day to day operational systems, allowing our Practice Manager to focus on clinical leadership and supporting our patient care teams.
This role is ideal for someone who enjoys solving problems, improving systems and being the person others rely on to keep things running efficiently.
Reporting to the Practice Manager, you'll be responsible for coordinating operational systems across our Booragoon and Subiaco clinics, working closely with our external IT provider, suppliers and internal teams to ensure our clinics operate smoothly each day.
Because our clinics begin early, you'll need to be available to commence work at 7.00am so any operational or IT issues can be resolved before patients arrive.
We anticipate the role will be Monday to Friday, 7:00am to 2:00pm, however we're happy to discuss some flexibility around hours and finishing times with the successful applicant.
Key Responsibilities
· Be the first point of contact for operational and IT-related issues
· Liaise with our external IT provider to coordinate and resolve technical issues
· Troubleshoot day to day operational problems across the clinics
· Coordinate external contractors,
suppliers and service providers
· Oversee stock processing and reporting
· Support business projects and continuous process improvements
· Help identify opportunities to improve systems and operational efficiency
About You
You'll be someone who enjoys finding solutions, improving processes and keeping multiple moving parts organised.
Ideally, you'll bring:
· Experience in an operations, systems coordination or IT support role
· Robust problem-solving skills with the ability to think proactively
· Excellent organisational and time management skills
· The ability to juggle competing priorities while remaining calm under pressure
· Confidence communicating with suppliers, contractors and service providers
· A collaborative approach and willingness to help wherever needed
· Reliability, professionalism and a high level of initiative
Experience within a healthcare or allied health environment would be highly regarded, but is not essential.
